This position will have the opportunity for a hybrid schedule (a combination of in-office and remote workplace).  **Please note - equipment provisioning and certain onboarding tasks will take place in person, in our downtown Denver office, on the first day of employment.


The Colorado Department of Early Childhood (CDEC) ensures the delivery of a comprehensive, community-informed, data-driven, high-quality and equitable early childhood system that supports the care, education and well-being of all Colorado's young children, their families and early childhood professionals in all settings. CDEC provides access to collaborative, coordinated, quality early childhood programs and support to children, families, and early care professionals in an effort to best prepare Coloradans for future success. CDEC works with many partners, including parents, schools, child care providers, Early Childhood Councils, counties, Community Centered Boards, early intervention service providers, family resources centers, county human services, county public health, businesses, community organizations, and other stakeholders to provide high-quality early childhood and family support programs.

The Division of Data, Strategy, and Impact (DDSI) serves as the strategic heart of the Colorado Department of Early Childhood (CDEC). This team's work ensures that every decision is thoughtful, informed, and centered on what matters most: the well-being and success of Colorado's children and families. Comprising dedicated experts in data, technology, and strategic planning, the DDSI works to ensure CDEC's programs and policies achieve their intended impact. By analyzing data and trends, department leadership can understand successes, identify areas for improvement, and plan for the future needs of the state's youngest residents. This collaborative division is structured into three specialized teams that provide essential information and strategic direction, empowering the Colorado Department of Early Childhood (CDEC) to build a brighter and more equitable future for every child in our state. DDSI comprises three teams: Strategy, Performance, and Impact, Data and Information Governance, and Data Reporting and Analytics (DAR).

What you'll be doing:

The position will play a pivotal role in the execution of CDEC’s performance management strategy. Its fundamental purpose is to provide operational and project support to the Strategy, Performance, and Impact (SPI) Team, serving as the operational engine that translates the department's strategic vision into well-managed, actionable results. The core activities of the position include coordinating key meetings, tracking project deliverables, and overseeing reporting processes. By managing the operational and coordination tasks, this role directly enables the Senior Strategist to concentrate on high-level strategic leadership and development. This clear division of labor ensures that while the Senior Strategist sets the course for the future, the Strategic Initiatives Coordinator ensures that day-to-day progress toward that future is seamless, organized, and on track. This position is ideal for an exceptionally organized and proactive professional who excels at coordination, problem-solving, and ensuring processes run smoothly.


Position responsibilities include, but are not limited to the following:


  • This position serves as the primary logistical owner for the department's monthly performance metric review meetings, ensuring they are well-organized and effective. This involves scheduling all meetings, preparing and distributing agendas in advance, compiling pre-reading materials, and taking detailed notes with clear action items.

  • The role manages the established monthly Wildly Important Goal (WIG) and Lead Measure data collection process by communicating with program leads and ensuring timely submission.

  • It also acts as the administrator for performance management software and tracking tools, ensuring all information is accurate and up-to-date.

  • This position assists in planning, organizing, and tracking SPI projects. It develops and maintains project schedules, timelines, and task lists using existing project plan templates to ensure effective project management.

  • A key function is to track project deliverables, monitor progress on action items, and ensure deadlines are met for key initiatives, such as Process Mapping and KPI implementation. 

  • This involves proactively identifying potential risks and dependencies that could impact deadlines and escalating them to the Senior Strategist for resolution.

  • This position is responsible for compiling data and preparing materials for key reports and presentations.

  • It maintains standardized templates for performance reporting and project summaries and supports critical data documentation projects, including the conversion of WIG Development notes into official "Context Memos."

  • This role also submits Wildly Important Goal (WIG) and Lead Measure data updates to Salesforce for the Governor's Dashboard by established timelines.

  • This position provides scheduling and coordination support for the Senior Strategist by following established procedures.

  • The role also drafts routine communications for internal stakeholders and works closely with other data and technology teams to ensure effective collaboration.

  • Other duties as assigned.

Minimum Qualifications:

Experience Only:

Five (5) years of experience coordinating project schedules, tracking deliverables against timelines, monitoring progress on action items, scheduling/organizing meetings (preparing agendas, compiling materials, taking detailed notes), managing data collection of information, and/or compiling data from various sources to prepare materials for reports and presentations. This experience must include at least one (1) year of providing support at the executive level (e.g., Division Director, Program Manager, Chief Executive Officer, etc.)

OR

Experience & Education:

A combination of related education and/or relevant experience in an occupation related to the work assigned totaling at least five (5) years. This may include coordinating project schedules, tracking deliverables against timelines, monitoring progress on action items, scheduling/organizing meetings (preparing agendas, compiling materials, taking detailed notes), managing data collection of information, and/or compiling data from various sources to prepare materials for reports and presentations. This experience must include at least one (1) year of providing support at the executive level (e.g., Division Director, Program Manager, Chief Executive Officer, etc.)


Substitutions: 
  • Additional appropriate experience will substitute for the degree requirement on a year-for-year basis.
  • Additional appropriate education will substitute for the required experience on a year-for-year basis.

Preferred Qualifications:
  • Experience working in a public sector or government environment.
  • Proficiency in using Smartsheet or similar project management and collaboration software to manage project schedules, track deliverables, and create reports.
  • Familiarity with performance management frameworks, such as Wildly Important Goals (WIGs).
  • Previous experience providing direct scheduling and coordination support for a senior-level manager or team lead.

  • Proactive Initiative:  The ability to be resourceful and to work without always being told what to do. Proactively identifying and addressing issues, opportunities, or needs and proactively and appropriately addressing them.

  • Process Management: Creating order and ensuring processes run smoothly, independently managing a recurring cycle of activities, such as coordinating monthly performance review meetings, tracking data submissions from multiple program leads, and ensuring all materials are accurate and on time.

  • Clear Communication: The ability to effectively exchange information to keep teams aligned. Includes drafting clear internal announcements and serving as a resource to guide others on how to follow established data submission and validation processes.

  • Organization: Ability to coordinate and prioritize multiple responsibilities simultaneously, including managing monthly performance metric review meetings, tracking strategic project deliverables, and overseeing reporting processes.

  • Project Management Software:  Proficiency in using Smartsheet or similar project management software to manage project schedules, track deliverables, and create reports.
