Chief Construction is seeking an Administrative Assistant to join the Chief team. This position performs general clerical and administrative duties as the front desk Administrative Assistant for Chief Construction and Heartland Electric. Professionally greets and coordinates reception of all onsite visitors, customers, employees, and outside division personnel. Assists General Manager, all levels of management, and staff with administrative support.
Job Responsibilities:
- Handles all incoming phone calls, transferring or relaying messages to appropriate staff members Chief Construction and Heartland Electric division.
- Professionally greet/assist all visitors, customers, vendors and staff. Assure all meeting supplies/customer refreshments are available in all meeting and training rooms, company and division employee activities and assigned personnel support functions.
- Assists with accounts payable invoice entry. Follow up with vendors when needed.
- Proficient in understanding and operating the phone system.
- Handle all information confidentially.
- Provide quality customer service.
- Manage mail retrieval and sorting process, including opening, dating, and stamping accounting-related correspondence.
- Monitor deliveries from suppliers, subcontractors, and customers to ensure timely distribution to staff.
- Upload/scan accounting documents as needed.
Qualifications and Skill Requirements:
- Requires knowledge of office routines, operation of office equipment such as computer, fax machine, copier/printers, calculator, scanners.
- 2-3 years’ related experience or the equivalent.
- Strong knowledge and experience using Microsoft Office Products specifically Microsoft Excel.
- Professional clerical or administrative experience preferred.
- Detail oriented with some accounting or accounts payable background.
