About the Position
The Associate Director of Events and Engagement manages the design and implementation of Haverford’s signature large-scale, on-campus Alumni and Family engagement events including Family and Friends Weekend, Alumni Weekend, and Move-in Day. These events are essential in fostering strong relationships with alumni and families, ultimately deepening engagement and strengthening philanthropic support for Haverford. Acting as the lead project manager, the Associate Director collaborates with partners across IA and Haverford to ensure the events align with the broader institutional priorities, enhance the fundraising and engagement efforts of the College, and are successfully executed.
This individual is part of the Alumni and Family Engagement team (AFE) which sits within the Alumni and Constituent Engagement (ACE) department, alongside colleagues in Special Events and Volunteer Leadership Strategy. In addition to leading the signature event the Associate Director will support other engagement activities aligned with the broader ACE strategy.
Primary Responsibilities
- Lead the program design, content creation, budget development, and project management of Move-In Days, Alumni Weekend, and Family and Friends Weekend ensuring seamless event execution and alignment with campaign and institutional priorities
- Conceptualize and implement innovative event experiences that foster a deepened sense of community, tradition, and pride among alumni and families while also ensuring a focus on fundraising goals for the College
- Collaborate closely with campus partners including colleagues in Institutional Advancement, Student Life, Facilities, and the logistical support units to ensure unified and balanced event experiences
- Mobilize efforts to engage volunteer leaders to support in the implementation and execution of programs and events
- Provide strategic leadership for select alumni groups, guiding alumni volunteer leadership, to expand connections among alumni, students, and families and enhance engagement efforts
- Partner with the IA Advancement Communications team and ACE team on the communication efforts for signature events ensuring large-scale event and program vision and marketing plans align. Additionally, support alumni and family communication efforts and participate in critical communication triage processes as needed
- Design and implement targeted programs, communications, or events, that will (re)engage specific alumni and family cohorts to broaden representation and participation across the broader Haverford community
- Collaborate with, and promote support for, Annual Giving and other Haverford philanthropic priorities, as well as serve a key role in Campaign engagement efforts as part of the ACE team
- Act as staff representative events as necessary, including during evening and weekend programs, for signature or other events
- Other responsibilities or a shift in responsibilities as needed to support IA’s achievement of campaign, engagement, and fundraising priorities
Line of Report: The Associate Director of Events and Engagement reports to the Director of Alumni and Family Engagement.
Minimum Qualifications
- Bachelor’s degree or equivalent relevant experience
- Three (3) years of work experience in event management, program development, or volunteer engagement
Professional Competencies
- Proven success in leading large-scale multi-day events with attention to detail, creativity, and strong project management and budget forecasting skills
- Demonstrated ability to successfully manage and execute concurrent multiple complex projects
- Effective communication skills, including proofreading and editing
- Ability to work independently and as a member of a team, to prioritize work efficiently, and to meet deadlines
- Ability to work with confidential materials and situations with sensitivity, diplomacy, and discretion
- Knowledge of and proficiency in Microsoft Office (Word, Excel and mail merge, PowerPoint) and Google Suite (documents, forms, sheets)
- Confidence in maintaining electronic systems including but not limited to, the website, departmental calendars, AlumnIQ (event registrations), MailChimp and EMMA (email marketing), Raiser’s Edge (CRM database), Haverford Connect (networking platform), and social media

Special Requirements
- Ability to work evenings/weekends as needed to perform the duties of the role
- Ability to travel locally, regionally, and/or nationally as needed (<10%) with the possibility of occasional overnight travel
