Accounts Receivable Specialist

 

The Accounts Receivable Specialist is responsible for managing customer accounts, ensuring timely collection of payments, and maintaining accurate financial records. This role will work closely with customers and internal teams to resolve billing issues, monitor account activity, and support month-end close processes. The ideal candidate will be detail-oriented, proactive in follow-up, and comfortable working in a fast-paced environment.

RESPONSIBILITIES

  • Manage the accounts receivable process, including generating and sending invoices, reminders, and collection notices.
  • Monitor customer accounts to ensure payments are received in a timely manner; follow up with customers regarding outstanding balances.
  • Investigate and resolve billing discrepancies, payment application issues, and customer inquiries with professionalism and accuracy.
  • Maintain accurate records of all accounts receivable transactions in the accounting system.
  • Provide regular reporting on A/R status, aging, and trends; highlight concerns or patterns to leadership.
  • Assist with month-end close activities, ensuring deadlines are met and reporting is accurate.
  • Support the finance team by managing shared inboxes, processing revision requests, and performing other related duties as assigned.

REQUIREMENTS

  • 2+ years of experience in accounts receivable or general accounting (Sage Intacct experience preferred).
  • Strong attention to detail with excellent organizational and problem-solving skills.
  • Effective written and verbal communication skills; able to interact professionally with both internal and external stakeholders.
  • Proficiency with Microsoft Excel and accounting software.
  • Team-oriented, adaptable, and able to manage multiple priorities in a deadline-driven environment.

PHYSICAL AND MENTAL REQUIREMENTS

  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to perform repetitive tasks such as data entry with accuracy.
  • Capacity to manage detailed information, maintain focus, and meet multiple deadlines in a fast-paced environment.
  • Ability to communicate clearly and professionally, including situations requiring persistence and problem-solving.
  • Occasional light lifting of files, binders, or office materials (up to 15 lbs.).
