About the Department
The Fleet Services department in the City of Lynchburg is an award-winning operation. Accolades include NAFA’s #5 ranking of Fleets within the U.S., Canada, and North, South, and Central America, as well as top 50 Fleets in the Nation by Government Fleet Magazine. We are currently seeking a full time Automotive Service Writer. The Automotive Service Writer is the first and last team member to interact with our customers. As such, they play a major role in customer satisfaction. To deliver the best possible experience for our customers, the ideal candidate must be team-oriented with a focus on continuous improvement and be able to accomplish measurable results while managing high-value resources in a dynamic, fast-paced environment.

Position Duties
ESSENTIAL DUTIES
- Promptly greeting customers who walk into the shop and office
- Listening to customers describe auto problems
- Asking follow-up questions to help diagnose issues
- Entering vehicle information into a FMIS system
- Compiling work estimates and communicating them to outside agencies
- Answering customers’ questions regarding the nature of repairs
- Strong listening skills to gather information from customers
- Effective interviewing skills to ask follow-up questions
- Thorough knowledge of automobiles and equipment to gather information and discuss issues with technicians
- Verbal communication skills to explain complex technical problems in simple terms
- Organizational skills to keep track of multiple jobs
- Handle incoming calls
- Booking appointments
- Communicate between customers and technicians
- Collaborate with our team to ensure seamless communication and exceptional service delivery.
- Performs small repairs such as replacing wiper blades, taillight bulbs, and or washer fluid refill.
ADDITIONAL DUTIES AND RESPONSIBILITIES
- Other duties to provide direct or indirect service may be assigned.
- When unusual situations occur and/or the City Manager declares a State of Emergency, all City employees may be required to accept special assignments and perform as needed to ensure appropriate service delivery.
Minimum Qualifications
High School Diploma or GED.
Two to four years of relevant experience.

REQUIREMENTS
- Previous experience in automotive repair, parts sales, or service writing is required.
- Strong computer skills, including proficiency with basic office software and ability to learn new systems quickly.
- Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Strong problem-solving abilities and attention to detail.
- Self-motivated with the ability to work independently and as part of a team.
- Successful completion of driving record screening according to City criteria
- Successful completion of a criminal background check
- Successful completion of pre-employment drug/alcohol screen; upon hire, employee is subject to random screening
- Possession of a valid driver's license issued by the Commonwealth of Virginia
- Possession of ASE C1 Automobile Service Consultant within 12 months of employment
- Possession of a valid commercial driver's license (CDL) issued by the Commonwealth of Virginia within 12 months of employment is preferred and will result in a pay increase. The City will cover the cost for the employee to obtain a CDL.
While performing the duties of this job, the employee is regularly required to listen, communicate, stand, walk, sit, use hands to finger, handle, or feel small objects; reach with hands and arms; stoop, kneel, crouch, or crawl and climb. The employee is occasionally required to climb or balance and must regularly lift and/or move up to 25 pounds.
Work is normally performed in an office environment. May be required to help transport vehicles to and from the Fleet Services shop. The noise level in the work environment is usually moderate.
Ability to read, analyze and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.
Mathematical Skills
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent, and to draw and interpret bar graphs.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Interpersonal Skills
Ability to communicate in a tactful and cooperative manner.
