SUMMARY DUTIES and RESPONSIBILITIES:
The Human Resources Generalist ideally is transitioning from clerical into professional arena of human resources. The responsibilities will run the daily functions of the human resources department including schedule potential applicants, attending recruiting events/job fair; interviewing staff, assisting with benefits and leave programs; enforcing company policies and practices. Help with payroll matters using ADP, and promoting wellness initiatives, challenges and discussion groups.
This position is expected to be available to answer questions or concerns regarding Nevada HAND employees urgently and confidentially. This position is responsible for performing various Human Resources functions with a primary focus on the data and information stored in the HRIS system (exporting and importing data); Smartsheet's. This individual carries out responsibilities with accuracy in the following functional areas: May be required to handle pre-employment screening, onboarding, and making presentations. Expected to be knowledgeable about all leaves of absence and employment law compliance.
This position is expected to work in the office unless otherwise determined.
Light travel from home office to various communities
ESSENTIAL FUNCTIONS and WORK DUTIES:
The following essential functions of this position are performed personally, in cooperation with the supervisor, and/or in coordination with other staff. Additional work functions and duties may be assigned.
Perform a variety of human resources functions and services.
PRE-EMPLOYMENT/ONBOARDING:
- Assist recruitment arena with screening, scheduling, offer letters and more.
- Ability to post vacancies in ADP and other recruiting sources.
- Handle background investigations and review results.
- Act as back-up to weekly recruitment meetings.
- Serve as backup
- onboarding new employees including assisting them with the completion of I-9, Work Card, etc.
- Issue job descriptions to employees transferring to a new position.
- Notify the department manager and other relevant departments of the employee's start date or the employee’s transfer date.
- Create electronic personnel files and benefits files.
- Initiate Notice of Change forms for new employee transfers and other personnel actions as needed.
- Assist with the payroll payout of the employee referral bonus program
- Ability to present to a large audience on a weekly basis.
- Update the onboarding slide deck.
HRIS:
- Serve as additional Human Resources ADP subject matter expert in ADP for continued system optimization and process improvement.
- Serve as backup to enter employee information in ADP for new hires, status changes, transfers, pay changes, benefit coverage, and terminations. This includes “Onboarding” new employees from the Applicant Tracking System (ATS) to ADP.
- Maintain required local, state, federal, and departmental records, postings, and reports including I-9, and EEO1 reporting.
- Serve as back-up to compile quarterly and annual departmental analytic reports.
- Generate and distribute various reports as needed
LITMOS LMS (HOMEROOM):
- Serves as back-up to upload employee reports to Litmos weekly.
- Assist with creating, scheduling, and assigning courses as needed.
- Supporting Operational Excellence, using the required Dojo belt to handle sending the training, reporting on various pieces of training, and resolving employee concerns in homeroom.
- Assists with HUB (company-wide Internet/Jostle) posts as required and needed.
SAFETY:
- Act as back-up to workplace investigation.
- Assist HR and those employees handling OSHA data. Complete workplace injury paperwork and submit it to the insurance company(s).
- Help with audit requests of materials and information related to OSHA.
BENEFITS ADMINISTRATION:
- Serve as back-up to bi-weekly payroll reports
- Serve as backup to coordinate administration of employee health benefits and 401(k) Plan including communication, enrollment processes, and ACA requirements.
- Ability to administer FMLA and ADA programs to meet federal regulations.
- Ability to administer all leaves of absence in compliance with the organization’s policies and procedures.
- Serve as back up to reconcile monthly insurance carrier invoices and process internal monthly billings.
- Act as primary to reconciling human resources invoices as required by accounts payable procotol for each company.
- Serve as back up to coordinate quarterly open enrollment with newly eligible 401(k) participants and financial advisor.
- Act as primary sending out retirement plan quarterly eligibility materials, sending out meeting invitations, and filing information for the quarterly meetings according to ERISA compliance of Define Contribution Plans
EMPLOYEE ENGAGEMENT:
- Participate on the company’s Social Squad committee and help with all aspects of the committee: planning, organizing, and attending weekly committee meetings.
- Serve as back-up keeping weekly Social Squad minutes and send out a weekly calendar to Social Squad members.
- Support the Social Squad Program and its members (e.g. agendas, marketing requests for events, set-up at events, zoom set-up during lunch & learns).
- Assist with department surveys, creating certificates, and HR Sponsored Workshops.
- Secondary responsible for annually creating, maintaining, verifying the internal Wellness portal.
- Serve as back-up planning, organizing, and scheduling Nevada HAND quarterly bus tours.
- Serve as back-up Inviting new hires to the quarterly new hire culture training.
- Assist when needed with home office events.
PROCUREMENT & INVOICE:
- Assist with vetting any new vendor services for human resources and other departments if it is related to employment.
- Act as primary to help with all invoices related to human resources and reviewing the HR Office Team vendor mailbox .
OTHER FUNCTIONS and WORK DUTIES:
- Ability to help with employee relations when needed:
- Intake of an employee compliant or grievance
- Serve as a witness to separations of employment
- The ability travel from community to community when necessary to resolve issues as directed by the VP of Human Resources
- Be available to meet with employees at their worksite to discuss sensitive matters.
- Perform tasks which are supportive in nature to the essential functions of the job, but which may be altered or re-designed upon individual circumstances.
- Perform administrative duties such as filing, typing, scanning, copying, and other office duties as required.
QUALIFICATIONS and SKILLS REQUIRED:

EDUCATION and/or EXPERIENCE:
- Five (5) years generalist experience in human resources, including at least three(3) years of experience in benefits administration and recruiting.
- Microsoft Project management experience preferred.
- Experience with HRIS systems; ADP is preferred.
- Undergraduate degree required in HR, business administration, or psychology.
- Professional Human Resources Certification; Certified Employee Benefits Specialist Certification preferred.
- Bi-lingual in English and Spanish.
OTHER SKILLS and ABILITIES:
- General knowledge of the principles and practices of personnel administration.
- Strong ability to establish and maintain effective professional relationships with management, employees, service providers, and the general public.
- Ability to present facts and recommendations effectively in oral and written form.
- Proficient in Microsoft Office; excel a must.
PHYSICAL REQUIREMENTS:
- Stooping - frequently bending body downward and forward by bending spine at the waist, requiring full use of the lower extremities and back muscles.
- Kneeling - frequently bending legs at knees to come to rest on knee or knees.
- Reaching - frequently extending hand(s) or arm(s) in any direction.
- Handling - frequently seizing, holding, grasping, turning, or otherwise working with hand or hands.
- Ability to transport files up to approximately 20 pounds.
- Ability to lift files up to 20 pounds from the ground level to 4 feet in height, and move them from shelf to shelf in storage.
- Regularly required to use hand to finger, handle, or feel, reach with hands and arms and talk or hear using telephone, computer keyboard, mouse and calculator while seated at a desk.
- Able to sit at desk for extended periods of time.
- Specific vision abilities required by this job include close vision, depth perception, and the ability to adjust focus
