Responsibilities

  • Responsible for timely and accurate data collection, data entry and generating monthly reports from numerous databases for management.
  • Work as a member of the agency support team to implement appropriate systems and to support agency initiatives and events. Integrate processes to reduce duplication of effort and maintain integrity of policies and procedures.
  • Responsible for office support functions to enable an efficient and effective organizational flow, providing support services to the Director in an accurate, efficient, and timely manner.
  • Supervise receptionist/intake secretary, following all agency policies and arranging for coverage as needed including covering the reception area as needed. Manage reception area including representing SCAP proactively, keeping with appropriate systems.
  • Order supplies and equipment for Department and process purchase orders as directed. Maintain all equipment in good working order as needed.
  • Assist with the scheduling of training, make appointments and other support functions for Management.
  • Conduct orientation activities for new employees of the Department and other personnel as directed following Agency best practices and policies.

Qualifications


Requirements

  • Bachelors Degree in a related field and three (3) years related and progressive experience. Office management and supervisory experience preferred.
  • Experience working with time sensitive, confidential information and providing support to executive management.
  • Demonstrated excellent written and verbal communication skills, with good knowledge of appropriate boundaries and exercising confidential protocols.
  • High level of computer literacy required including the use of technology that creates efficient systems. Experience with Microsoft Office Products, databases, and other software required.
  • Must be able to multi-task, answer multi-line phones, conduct a smooth running office and show excellent organizational skills.
  • Experience with direct customer service preferred.
  • Must be able to work cooperatively as a team and display good problem solving skills.
  • Knowledge and understanding of issues related to individuals and families in poverty. Ability to build upon the strengths of those we serve with diverse racial, cultural, social, educational and economic backgrounds, including high risk populations, to provide high-level services and lasting solutions to fit each individuals and family's needs.
