Stark & Stark is actively recruiting for an Intake Specialist based in our Hamilton, NJ office. The Intake Specialist will serve as the first point of contact for nearly all potential clients, playing a critical role in creating a positive and professional first impression whether by phone, email, or online inquiry. The right candidate will have exceptional interpersonal skills, attention to detail, and the ability to efficiently evaluate potential cases to determine if they meet the firm’s sign-up criteria. As part of our Intake Department, you will have the opportunity to grow professionally, contribute meaningfully, and be part of a team that truly believes the whole is greater than the sum of its parts.

Responsibilities:

  • Answer incoming calls by the 2nd ring with a professional, friendly greeting.
  • Handle all leads with confidence, empathy, and discretion to create a strong first impression.
  • Obtain all necessary case details to assess whether they meet firm criteria.
  • Respond promptly to online inquiries and website submissions.
  • Enter all client intake information accurately into the firm’s case management system (Lead Docket).
  • Forward qualified leads to the appropriate practice group.
  • Follow up on pending or “no-decision” leads daily to ensure resolution.
  • Refer non-qualifying matters to referral attorneys.
  • Provide alternative legal resources.
  • Communicate and coordinate with attorneys when their involvement is required.
  • Demonstrate flexibility by taking on new tasks and contributing to continuous process improvement.

Qualifications:

  • Minimum of 2 years in customer service, legal support, healthcare, or communications.
  • High school diploma or equivalent (college degree preferred).
  • Proficiency in Microsoft Office Suite and adaptability to new software platforms.
  • Ability to type in real time.
  • Strong, active listening and comprehension skills.
  • Exceptional verbal and written communication skills.
  • Strong problem-solving and multitasking abilities.
  • Ability to develop trust and rapport with clients and colleagues.
  • Dependable, organized, and able to work independently or in a team environment.
  • Bilingual abilities are a plus.
