Staff Accountant Position Description

The Staff Accountant is responsible for seeing that the daily accounting is completed in a timely and accurate manner. This person is a member of the internal finance team and is the first line of communication with other departments and clients with accounting questions.


Essential Functions

Accounts Payable

  • Ensure all vendor invoices have proper approvals
  • Process approved vendor payments in a timely manner through BILL or other platforms as needed
  • Enter all payables and payments in MIP in the proper period for the monthly close
  • Ensure that all new vendors have W-9s on file prior to payment
  • Prepare and send annual IRS Forms 1099.

Accounts Receivable

  • Prepare client invoicing according to current policy and procedure
  • Prepare, make, and record check deposits no less than weekly
  • Manage client communications in a professional and timely manner
  • Work with the supervisor and managers to collect overdue receivables
  • Prepare and distribute internal A/R reports and client statements, as needed


General Accounting

  • Prepare and submit State and City excise tax returns according to the required schedule.
  • Analyze financial data on a regular basis for reasonableness and accuracy
  • Assist in preparing reports and schedules, and gather documents for external audits, as directed
  • Make regular month-end and year-end journal entries, as needed
  • Prepare monthly grant/contract reporting and reconciliation, as needed


Work Environment/Physical Demands

This is a hybrid remote position with a required minimum of one day per week in our Seattle office at Pacific Tower on Beacon Hill. The position operates in a professional office environment and routinely uses standard office equipment such as computers, phones, copiers, and filing cabinets.  


The physical demands required to perform the essential functions of the job successfully include talking and listening, standing, walking, sitting for extended lengths of time, keyboarding, and occasionally reaching and bending.


Expected Hours of Work

501 Commons’ days and hours of work are Monday through Friday, 7:00 a.m. to 6 p.m. PST. This position will work a minimum of 24 hours a week with the potential for increased hours.


Requirements

Competencies

  • 2-5 years of accounting experience, preferably in a nonprofit setting
  • Thorough knowledge of GAAP and nonprofit reporting standards
  • Exceptional organizational skills and ability to troubleshoot and problem-solve
  • Ability to juggle multiple deadlines and priorities.
  • Experience with MIP Accounting, or other fund accounting software, or knowledge and experience with double-entry accounting (Financial Edge, Sage Intacct)
  • Experience with BILL.com or other online payment and billing platforms is desired.
  • Demonstrated analytical skills, accuracy, and attention to detail
  • Energized by maintaining a customer service and collaborative mindset
  • Ability to learn and master new systems quickly
  • Strong proficiency with MS Office Suite, especially Excel, Outlook, and Teams
