POSITION SUMMARY: The purpose of this position is to assist in the provision of Child Support services, in conjunction with other staff, to clients participating in Bear River Band Child Support Services (BRBCSS). Responsibilities include a variety of routine and complex clerical and administrative work in support of the Child Support Services Program; may serve as a receptionist and interact with public to provide customer service as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Under general supervision, performs a variety of routine clerical, reception, administrative and secretarial duties.
- Receive and collect application of payment including but not limited to cashier check, money orders, debit/credit transactions, providing receipt of application and entry into automation system.
- Review all daily payments received for appropriate documentation and approval prior to posting.
- Uses computer and software applications to accurately type and edit basic correspondence; enter data, retrieve data, search databases, conduct research, create documents and send emails.
- Processes various documents, ensuring that all necessary forms are complete and accurate.
- Answer and respond to client calls; logging and distributing detailed messages as necessary in a courteous and professional manner.
- Be knowledgeable and maintain the ability to answer questions about the BRBCSS program, provide callers with address, directions, and other information.
- Assists the public and or employees at the front counter appropriately, locates documents, fills out forms, makes copies, and displays a clear attitude of customer service.
- Process Applications for Services and any attached documents.
- Set up physical and digital case files, including assigning case numbers to applications. Routinely and consistently maintaining the organization of both digital and physical files, including updating the case management database and automation system.
- Draft and maintain departmental forms as assigned by the Director/Program Manager.
- Assist Case Specialist in preparation of case communications and preparing filings for Court.
- Assist Accounting Specialist with preparing financial documents and reports.
- Assist Program Manager with various tasks as required.
- Performs mouth swabs for genetic testing when indicated for paternity establishment.
- Researches and compiles information and data as requested.
- Run errands, as assigned, that are necessary to the program’s goals.
- Prints, copies, assemble, distribute and file documents and maintain files.
- Interacts with other offices and departments and outside organizations to obtain and provide information.
- Must accept confidentiality as a strict condition of employment.
- Establish and maintain effective working relationships with coworkers and supervisors, other Departments, Offices and other outside agencies.
- Perform other duties as assigned.

QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION/EXPERIENCE:
- Must be eighteen (18) years of age
- High School Diploma or GED
- Must have an Associate’s degree in Business or related field:
- OR; equivalent combination of education and experience (Equivalent = two (2) year’s direct experience to one (1) year of education).
- Must have one (1) year Administrative/Clerical Experience
- Prefer knowledge of Tribal, CFR, State and Federal laws applicable to the child support enforcement program.
- Prior Child Support experience preferred.
CERTIFICATES, LICENSES, REGISTRATIONS:
- Shall possess a valid driver’s license and be insurable by agencies insurance.
COMPUTER OPERATIONS:
- Intermediate personal computer skills, including electronic mail, routine database activity, word processing, spreadsheet, graphics, etc.
LANGUAGE SKILLS:
- Ability to read and interpret documents such as rules, procedure manuals, financial reports, and legal documents. Ability to write routine reports and correspondence. Ability to respond to common inquiries and/or complaints from customers, regulatory agencies, and/or members of the business community. Ability to write speeches and articles for publication that conform to the prescribed style and format. Ability to effectively present information to management, tribal membership, public groups, and/or boards of directors.
MATHEMATICAL SKILLS:
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY:
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Must demonstrate emotional stability, adaptability, patience, self-control, and tact.
- Must possess good communication skills, a professional appearance, and good judgment in moral, ethical, cultural, and spiritual matters.

- Ability to operate standard office equipment (copier, fax, etc.).
- Must be able to work with American Indian people and be sensitive to their culture.
- Comply with all safety policies, practices and procedures.
- Ability to work as a team with other program and department employees, other agencies and service providers.
- Must be able to communicate effectively and professionally both verbally and in writing.
- Must be willing to work evening hours, as needed.
- Ability to effectively communicate both verbally and in writing.
- Computer literacy including Microsoft Office.
- Ability to provide customer service effectively and handle stressful situations in a professional manner, including angry or difficult people.
- Must accept confidentiality as a strict condition of employment.
