Essential Duties: The Secretary has the duties and responsibilities commonly associated with this position, including (but not limited to) the following, which are performed directly or through the proper delegation of authority, within the framework of the general laws of New Jersey, the regulations of the NJ State Department of Education, the policies and rules of the Nutley School District, and the terms of the contract with the Nutley Education Association, with all of which he/she is expected to be familiar. As well, the position is responsible for duties commonly associated with communication positions, which are performed directly or through the proper delegation of authority.
General Secretarial Skills:
Represent office in a courteous professional manner at all times in direct conversation, phone discussions and electronic correspondence in a busy office atmosphere. ? Demonstrate accurate keyboard skills and demonstrate proficiency with all facets of Microsoft Office, including word and excel, as well as, Google classroom, docs, and calendar, as well as student information system to prepare reports.
Demonstrate proficiency in use of current e-mail system and distribute electronic and hard copy correspondence and bulk mailings as necessary.
Prepare and submit reports as required by specific office.
Review and distribute all hard copy and electronic incoming correspondence as necessary.
Work with supervisor, maintain accurate budget records and generate purchase orders as necessary, as well as keeping inventory of supplies.
Utilize current student information system, maintaining and updating files as appropriate to office.
Maintain confidentiality and discretion regarding student and staff information. ? Utilize and keep current all hard copy and electronic files.
Maintain inventory of needed office supplies and equipment, subscriptions, etc. and reorder as necessary.
Demonstrate professional interpersonal skills in all internal and external communications.
Demonstrate flexibility and adaptability by multitasking many responsibilities in coordination with other office personnel.
Responsibilities:
Display professional manners and confidentiality of student records, appointments, meetings, security procedures, and reports.
Support Principal with needed correspondence, daily calendar and communication to parents and community agencies.
Demonstrate proficiency with current budget system, maintain inventory of needed office supplies and equipment.
Maintain current school calendar of student activities and facilities utilization, and disperse information as needed to staff, central office, students and parents via hard and electronic communication, as well as on the school marquee.
Distribute ID cards to staff and students.
Provide support for coordination of school-wide functions such as Open House, PTO functions, eighth grade promotion, etc.
Facilitate parent communication via Naviance or current communication system. ? Maintain records of staff attendance and punctuality.
Coordinate with PTO for mailings and building use.
Prepare and distribute field trip lists, weekly bulletins, and staff communications from administration.
Organize electronic and paper files and reports.
Maintain and update middle school web page.
Maintain accurate academic records for current students and former students. ? Assist principal with scheduling, grade reporting, and promotion lists.
Other duties as assigned by the principal or vice principal.
Evaluation of Performance: Performance of this position will be evaluated annually in accordance with the New Jersey Administrative Code and Board of Education policy.
Additional Responsibilities: Performs such other tasks and assumes such other responsibilities as the principal or superintendent may assign or delegate.
Evaluation: Performance in this position will be evaluated annually in accordance with the Board’s policy on supervision and evaluation.
Computer Skills: Proficient in computer applications pertinent to support the position.
