Position Summary
The Supply Chain Administrative Assistant is a key contributor to the daily operations and administrative efficiency of the Supply Chain Department. This position supports cross-functional coordination, accurate documentation management, and special project execution. It serves as a critical communication hub and operational backup, helping to ensure that business processes continue smoothly and efficiently.
This role is ideal for a highly organized individual with strong attention to detail, effective communication skills, and the flexibility to adapt to a fast-paced and regulated environment. It also provides development opportunities through exposure to various supply chain functions, including inventory, compliance, logistics, and procurement support.
Key Responsibilities
Administrative Support
· Provide comprehensive administrative support to the Senior Supply Chain Director and broader Supply Chain team.
· Draft, proofread, and edit business communications including reports, memos, and internal correspondence with a high degree of professionalism.
Project & Operations Support
· Assist with planning, tracking, and execution of department-specific and cross-functional projects.
· Conduct research, compile data, and prepare documentation to support strategic initiatives and continuous improvement efforts.
Documentation & Systems Management
· Maintain and organize digital files within systems such as SharePoint and Outlook.
· Perform routine audits and reconciliation of supplier/item data to ensure data integrity.
Functional Cross-Training
· Serve as a trained backup for core supply chain functions including: Order entry and processing, Inventory control, Item master data management, Food Safety and Quality Assurance support, and Logistics coordination
Compliance & Regulatory Support
· Assist in maintaining documentation and logs required for compliance with USDA, FDA, HACCP, and other federal or state regulations.
· Support the preparation of audit-ready reports and maintain confidentiality of all sensitive materials.
Collaboration & Communication
· Actively engage with internal departments such as QA, Procurement, and Logistics to facilitate workflow and resolve administrative bottlenecks.
· Promote a positive team environment aligned with the company's core values and mission.
General Office Support
· Perform other duties as assigned by management to meet departmental needs.
Minimum Qualifications
· High school diploma or GED required; associate’s degree or certification in business administration preferred.
· At least 2 years of administrative or operations support experience in a professional setting, preferably within supply chain, logistics, or foodservice distribution.
· Advanced proficiency in Microsoft Office Suite, especially Outlook, Word, and Excel.
· Strong written and verbal communication skills.
· Ability to manage multiple deadlines with excellent organizational and time-management abilities.

Physical & Travel
· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 20 pounds occasionally.
· May require occasional walking or standing for extended period, including use of stairs.
· Must be able to hear and speak clearly for telephone and in-person communication.
Work Environment
· Climate-controlled office environment with moderate noise levels.
· Occasional visits to warehouses or vendor locations may be required with proper PPE.
· Position is expected to maintain the highest standards of safety and regulatory compliance at all times.
