SUMMARY

This position is responsible for supporting the safety and compliance functions of the Operations Department. This position completes a multitude of administrative tasks and provides technical project support as needed. The Safety Administrative Assistant must be flexible and responsive to direction from team leaders within the company and have a work attitude that promotes cooperative department and inter-department relationships. Must maintain confidentiality at all times.


ESSENTIAL DUTIES AND RESPONSIBILITIES may include
other duties as assigned.

  • Provides efficient, accurate, high-level technical administrative support to the UEC Safety program. Seeks direction when needed.
  • Responsible for document retention, maintaining extensive recordkeeping including electronic files and documentation.
  • Gathers and analyzes reports and data provided by others to produce summarized, presentable reports for management review for the development of improvement of policies, processes, and programs.
  • Maintains strict confidentiality regarding customer expansions and/or acquisitions, matters of personnel and matters identified as confidential in the context of corporate operation and planning.
  • Assists Safety and Security Administrator with maintaining accurate safety logs, training records and certification renewals ensuring up-to-date compliance.

 

JOB DUTIES may include
other duties as assigned.

  • Assists with meeting coordination and internal and external communications as required. Schedules and supports meetings as requested. Transcribes and types correspondence, reports and other assignments from management.
  • Reviews business processes and provides recommendations for efficiency improvements.
  • Ensures records are kept current including SDS, compliance certificates, Emergency Response Plans, disaster and contingency plans, workplace posters, etc.
  • Assist with maintaining driver qualification records for each employee. Orders and monitors motor vehicle records for all employees on annual basis.
  • Schedules and coordinates all safety onboarding and training for new employees. Ensures all new employees are set up in the online OSHA/HSI training platform.
  • Gathers and delivers information and details for monthly Board reports. Also drafts reports (as requested) with self-directed research including the formulation and identification of trends.
  • Works with leadership on budget, creates order requisitions and purchase orders.
  • Serves as the point of contact when the Safety and Security Administrator is out of the office. Provides back-up functions as needed or assigned.
  • Establishes and maintains in good order, in accordance with standard administrative procedures, necessary files.
  • Works collaboratively with colleagues and fosters a spirit of cooperation in the workplace.
  • Conducts themselves in a manner that reflects well on UEC and contributes to harmonious relations with members and the general public.
  • Respectfully takes direction from management. Refers any situations outside their scope of service to Manager for direction. 
  • Contributes to harmonious relations with co-workers, members, and the general public.
  • Other duties as required or assigned.

Required Qualifications (EDUCATION and/or EXPERIENCE):

 

Education:

Associate's degree from two-year college or technical school; additional related experience may be substituted for education.



Experience:

Minimum of five (5) years of administrative assistant/secretarial experience.



Preferred Qualifications (EXPERIENCE and/or CERTIFICATIONS):

  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Previous utility experience is preferred.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
  • Specialized computer skills. Must be adept at using various applications including database, spreadsheet, report writing, project management, graphics, word processing, presentation creation/editing, communicate by e-mail and use scheduling software. Proficiency in entire Microsoft Suite (Word, Excel, PowerPoint) and other office and data management software is required.
  • A valid Drivers’ License is required for occasional business travel.
