A Fleet Service Coordinator manages a company's vehicle and equipment fleet, coordinating maintenance, handling administrative tasks to optimize operational efficiency and cost-effectiveness. Key responsibilities include scheduling preventative maintenance, coordinating with repair vendors and outside services, managing work orders and invoices, and maintaining fleet management software systems. Providing updates to the Service manager and business units daily on vehicle and equipment status.
Key Responsibilities and Duties:
Maintenance Coordination:
Scheduling preventative maintenance, initiating and following through on sublet repairs, coordinating with outside vendors for services and parts, and ensuring necessary information is available for maintenance staff.
Work Order Management:
Generating and processing work orders in fleet management systems, reviewing work for accuracy and completeness, processing invoices, and tracking parts inventory.
Fleet Management System:
Maintaining the accuracy and currency of fleet management software, adding and removing assets, compiling reports, and ensuring regulatory compliance.
Communication and Support:
Liaising with drivers, user departments, and other stakeholders to address concerns, clarify information, and provide updates on vehicle status.
Administrative Tasks:
Performing various administrative duties, such as preparing reports, creating documents, answering phones, and assisting with purchasing and inventory management.
Financial Aspects:
Processing invoices, preparing purchase orders for services and repairs, and verifying vendor invoices.
Skills and Qualifications:
Organizational and Time Management Skills: Strong organizational skills to handle multiple tasks simultaneously, prioritize services, and manage appointments and workflow efficiently
Equipment Knowledge: A basic understanding of equipment anatomy, common repairs, maintenance requirements, and how different components affect equipment performance. This knowledge allows them to explain technical issues to customers clearly.
Excellent communication and interpersonal skills for interacting with drivers, departments, and vendors.
Ability to research and diagnose maintenance issues.
Attention to Detail: Ability to meticulously document information, review repair orders for accuracy, and maintain organized records.
Computer Skills: Proficiency in computer software, Office Programs and fleet management systems for tasks like scheduling, work order management, data entry, and report generation.
