Job Title:   Business Office Coordinator

Terms and Conditions: Non-Affiliated 12-month position
FLSA Status:             Exempt
Salary:   $64,000 – $76,000, depending on qualifications and experience.

Position Summary:
The Business Office Coordinator assists multiple areas of the business office. This role will manage student fees and coordinate communication to parents on outstanding balances, schedule transportation for curricular and athletic trips, manage workman’s compensation claims, and handle many of the day-to-day requests received by the Business Office. The Business Office Coordinator will need to be proficient in all areas of the Business Office including Accounts Payable, Transportation, Purchasing, and Payroll in order to provide assistance to district staff in these areas and serve as a backup for team members within the department as needed.

Qualifications:

Education, training, experience requirements.
Bachelor’s in Business Services or comparable experience working in a school district business office.
Knowledge of office practices, procedures, methods and equipment.
Knowledge of Property, Casualty, Liability and Workman’s Compensation insurance strongly preferred.
Knowledge and experience with Windows, Word, Excel, Google Doc web based application.
Ability to perform a variety of detailed work accurately and maintain accurate and organized records of work.
Demonstrate the ability to initiate and complete research, problem-solving techniques, and follow-up inquiries when necessary.
Ability to work more than 40-hours a week as needed.
Ability to work occasional evenings.
Ability to communicate effectively and to establish and maintain effective working relationships with officials, employees and outside contacts.
Ability to work independently with minimal supervision.
Understanding of school district payroll process.
3-5 years working in a school environment.

Essential Job Duties:

Work with Director of Transportation and Purchasing to schedule field trip and activities transportation.
Assist Director of Transportation in scheduling internal fleet of vehicles for repairs and inspections
Manage the Workman’s Compensation claims for the district
Assist with completion of paperwork for Insurance Renewals
Assist with compilation of information for various audits (annual, federal, state).
Handle bursar responsibilities with student fees, including (but not limited to):
1. Fee inquiries,
2. Coordination of payment plans
3. Communications to families
4. Waiver requests
Perform periodic audits of employee insurance elections to the deductions and benefits reported through payroll.
Perform procedures pertaining to unclaimed property including the annual reporting process to the State.
Attend and personally take part in local, regional, and state organizations and conferences as related to Business Office functions, as approved by the Chief School Business Official and as governed by District policy.
Maintain logs, receipts, and reconciliation records for the district’s petty cash.
Assist with expenditure and compliance reporting for state and federal grants.
Responsible for maintaining the district’s RevTrak webstore (set-up of payment pages, issuing refunds, running reports, etc.).
Assist with district accounts payable process
Assist and serve as backup to payroll
Assist with record keeping and digitization
Cross train and serve as primary backup to all areas of the business office.
Assist the Director of Transportation and Purchasing and Director of Finance with duties as assigned.

Ability to bend, stoop, climb stairs, and reach overhead.

Work Environment:
Traditional office setting. The noise level is usually moderate.
