Position Summary |
This position supports the operations of the Community Schools After-School and Summer Camp programs through database management, enrollment coordination, and report preparation. The role facilitates communication with families and staff, manages program materials and translations, and assists with site operations, registration scheduling, and newsletter development. Additionally, the position provides administrative support to the Community Schools office, responds to public inquiries, and collaborates with staff to ensure smooth program delivery. |
Essential Duties |
Maintains databases for After-School and Summer Camp programs and generates reports as needed. Maintains wait lists for After-School and Summer Camp programs and fills vacancies. Regularly assists at After-School sites during program operating hours. Update and distribute digital enrollment documentation and issue confirmations. Works with Community Schools Bookkeeper to develop an annual calendar of registration dates for all Community Schools programs. Prepares student information reports to be distributed to After-School sites. Coordinates development of monthly newsletter for After-School families and program staff members. Coordinates translation of program materials with District translators. Attends monthly office staff meetings and prepares minutes to be distributed. Develops student snack rosters for Child Nutrition for the After-School and Teacher Workday Care programs. Responds to questions from the general public, parents and staff by phone and the departmental email address. Refers questions to other office personnel as needed. Assists Bookkeeper, as needed, during heavy workload times. Performs other duties as assigned by the Director of Community Schools. |
Education/Experience Requirements |
High school diploma One year of secretarial work experience Experience in data entry, data management, Microsoft Office, Google Suite Strong writing, editing, verbal and written communication skills Such alternatives to the above qualifications as the Board may find appropriate and acceptable Complete the Criminal Background check process through the NC Division of Child Development and Early Education. Complete the Basic School Age Care Course as a requirement for NC Child Care Licensing. Obtain CPR/SFA certification. |
