Job Description:

The Clinical Coordinator (CC) functions as one of the first lines of contact with the patient. The CC must maintain a value of providing the highest level of service that incorporates active listening with an empathetic heart. This role directly supports the outcome of the patients visit and therefore, those in this role, are held to high standard of conduct.

 

The Clinical Coordinator will report to the Practice Manager functioning within the hours allocated by their supervisor. The CC must adhere to the required dress code and wear provided name badge visible to the visitor or patient.

Responsibilities:

 

 

The Clinical Coordinator is pivotal role that supports the patient’s hygiene experience. Therefore, the CC duties include the list below with their review based on performance and outcomes specific, but not limited to the listed tasks.

  • Speaks with a smile providing eye contact and welcoming demeanor.
  • Responsible for performing all functions of the back office related to: Developing, coordinating, and maintaining a productive Clinical schedule.
  • Team up with the PM to coordinate movement of patients through clinical rooms to maximize efficiency.
  • Coordinate Doctor movements is support of efficient way/s to see patients without compromising quality.
  • Responsible for ordering dental supplies to maintain appropriate inventory.
  • Must maintain appropriate levels of dental supply inventory (e.g., over or under ordering).
  • Coordinate hygiene checks to maximize productivity and quality in treatment.
  • Keep the hygiene schedule on time.
  • Partner with the PM to oversee the Lab Case system in direct support with producing tracking and accountable measures to ensure all cases are timely worked and closed.
  • Complies to all processes and polices set forth by CFCD.
Qualifications:

The Clinical Coordinator requires the capability to always maintain tact and service with a smile when interacting with patients, patient’s representative, insurance carriers or other external/internal members. Communication related to a patient will encompass service excellence at the highest level without judgement. 

 

Service excellence standards are.

  • Speak with a smile on your face.
  • Address the patient using surnames, never using terms of endearment such as “honey” or “dear”.
  • Look for a solution, if you cannot provide one, find the person who can.
  • When speaking with the patient in person, use eye contact and active listening.
  • Never engage in an argument with a patient.
  • Never tell a patient they are wrong, even if they are.
