General Responsibilities

Hours are Wednesday-Friday: 8:30am-4:30pm

  1. Perform receptionist and clerical duties, including answering phone calls and directing visitors.
  2. Complete initial phone screening and intake for emergency services and homeless prevention using the homeless management information system.
  3. Greet visitors and direct them to the appropriate staff or answer general questions.
  4. Sort and route incoming mail, and manage outgoing mail.
  5. Record monetary and in-kind donations according to agency policies.
  6. Maintain security and safety by controlling front door entry and observing visitor behavior.
  7. Notify staff of client emergencies, cancellations, and transfer non-counseling calls.
  8. Conduct walk-through rounds to ensure office security and manage office equipment.
  9. Supervise and maintain a neat, clean, and quiet reception area.
  10. Monitor inventory levels, maintain accurate records, and coordinate the ordering of office supplies to ensure adequate stock and smooth office operations.
  11. Other duties as assigned within the guidelines of this position.

Requirements

  1. High school diploma or equivalent.
  2. Minimum of 1 year of experience in office and clerical areas.
  3. Minimum of 1 year of experience with multi-line phone systems.
  4. Bilingual in Spanish preferred.
  5. Ability to type 30 words per minute.
  6. Ability to work independently with attention to detail.
  7. Ability to prioritize and manage multiple projects simultaneously.
  8. Proficiency in Microsoft Office applications.
  9. Strong verbal and written communication skills.
  10. A valid driver’s license, reliable means of transportation and proof of liability insurance is required.
