General Responsibilities
Hours are Wednesday-Friday: 8:30am-4:30pm
- Perform receptionist and clerical duties, including answering phone calls and directing visitors.
- Complete initial phone screening and intake for emergency services and homeless prevention using the homeless management information system.
- Greet visitors and direct them to the appropriate staff or answer general questions.
- Sort and route incoming mail, and manage outgoing mail.
- Record monetary and in-kind donations according to agency policies.
- Maintain security and safety by controlling front door entry and observing visitor behavior.
- Notify staff of client emergencies, cancellations, and transfer non-counseling calls.
- Conduct walk-through rounds to ensure office security and manage office equipment.
- Supervise and maintain a neat, clean, and quiet reception area.
- Monitor inventory levels, maintain accurate records, and coordinate the ordering of office supplies to ensure adequate stock and smooth office operations.
- Other duties as assigned within the guidelines of this position.
Requirements
- High school diploma or equivalent.
- Minimum of 1 year of experience in office and clerical areas.
- Minimum of 1 year of experience with multi-line phone systems.
- Bilingual in Spanish preferred.
- Ability to type 30 words per minute.
- Ability to work independently with attention to detail.
- Ability to prioritize and manage multiple projects simultaneously.
- Proficiency in Microsoft Office applications.
- Strong verbal and written communication skills.
- A valid driver’s license, reliable means of transportation and proof of liability insurance is required.
