About the Department

Assist the Director of Special Education by performing the clerical and secretarial duties necessary to fulfill the responsibilities of the Special Education Department.
 

Position Duties

Comply with approved Code of Ethics of the Education Profession and uphold and enforce rules, administrative directives and regulations, school board policies, and local, state and federal regulations.
 
Function as the Special Education office manager.  Responsible for ensuring effective office functioning.  Communicate with Director of Special Education on a regular basis regarding office operation.
 
Receive and route incoming telephone calls as appropriate.
 
Prepare correspondence, memos, and reports as required to conduct office business.
 
Maintain Special Education office files.
 
Communicate with special education and district personnel in accordance with the director.
 
Assist the Director of Special Education in compiling and submitting special education reports as required by the district, New Mexico Public Education Department or federal government.
 
Create, and maintain an accurate database containing information related to professional development activities and other department initiatives.
 
Assist the Director of Special Education in coordinating the training programs of the Special Education Department.
 
Arrange for meetings, including locations, sign-in sheets, agendas and handouts as requested by Director of Special Education.
 
Assist the Director of Special Education in completing, submitting and managing the Use of Building Forms.
 
Distribute mail to Special Education Staff
 
Assist with the maintenance of department budgets, records and files.
 
Assist, as needed, in the requisition and purchasing of supplies and materials and that invoices are paid in a timely manner.

Maintain Special Education staff absences, distribute and collect forms, inform relevant personnel, schools, etc. of absence when appropriate.
 
Communicate effectively and work cooperatively with parents, department staff and other employees of the district.
 
Display a positive attitude towards others, duties and responsibilities.
 
Attend all department meetings and training sessions as requested.
 
Use time effectively, and maintain punctuality and dependability.
 
Perform other duties as assigned.

EDUCATION and/or EXPERIENCE 
High school diploma or general education degree (GED); Demonstrates oral and reading proficiency in English; Demonstrates ability in secretarial/clerical skills to include word processing;  Experience in secretarial/clerical work.  Good communication skills, both oral and written.   Good public relations skills.

Other Qualifications

MATHEMATICAL SKILLS 
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

LANGUAGE SKILLS 
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.   Ability to speak effectively before employees.  Working knowledge of business English and spelling.

REASONING ABILITY 
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.
