Clinic Office Supervisor - CVH Primary Care @Minden Village - Full Time

POSITION SUMMARY:

Directs, supervises and coordinates the daily operations of the practice. Provides leadership and supervision including the coordination of practice activities. Responds to the needs of the practice by performing staff duties as needed.


POSITION REQUIREMENTS:

Minimum Education

  • High School Diploma of equivalent.
  • Associate’s degree preferred. 

Minimum Work Experience:

  • Previous medical clinic office experience preferred. 
  • Bi-Lingual preferred. 

Skills 

  • Strong interpersonal communication skills required for interacting with all levels within the organization (excellent spelling and grammar required).  Requires patient relations experience and the ability to follow verbal instructions.   Must be detail oriented with analytical ability and strong computer skills. 


POSITION ESSENTIAL FUNCTIONS:

Daily Operations

  • Directs, supervises, and coordinates the daily operations of the practice.
  • Works in conjunction with the entire clinic staff to provide a patient centered care team with effective communication being the common denominator.
  • Orders office supplies, medical supplies and coordinates repairs and maintenance projects.
  • Coaches employees as needed and partners with clinic director on corrective actions. 
  • Responds to staff requests in a timely manner.
  • Encourages and exhibits timely professional communication.
  • Coordinates practice activities. 
  • Ensure team members meet the needs of the practice, physician, and midlevel providers.
  • Prepares schedules.
  • Ensures rapid processing of new employees.
  • Oversees payroll processes.
  • Ensures the competency of all staff.
  • Determines individual goals and objectives.
  • Ensure staff is oriented to the practice policies and procedures.
  • Ensure evaluations are completed annually and according to organizational timeframes.
  • Promotes staff development.
  • Provide assistance to the practice manager and clinic director as needed.
  • Service recovery and documentation for patient interactions, issues, and solutions as needed.
  • Works alongside staff as needed to fulfill daily operations.
  • Maintain the department budget on a monthly and yearly basis.
  • Completes monthly reporting requirements. 
  • Adheres to quality compliance measures.
  • Conducts staff Interviews as may be required. 

Policies/Education

  • Works with clinical leaders and senior management to uphold departmental policies and procedures to ensure departmental effectiveness.
  • Monitors staff for adherence with licensing and mandatory education guidelines.

Hospital Representation

  • Represents the hospital in a positive manner in the community.
  • Attend Community events as assigned.
  • Creates a positive atmosphere in his/her department.

Safety Training

  • Attends all required safety training programs and can describe his/her responsibilities related to general safety, department/service safety, and specific job-related hazards.
  • Ensures staff attendance at required safety education programs.
  • Provides complete and accurate responses to safety questions.
  • Maintains clinics’ work areas and equipment in safe and hazard free condition.

  • Work in conjunction with clinic staff to provide a patient centered care team with effective communication being the common denominator.
  • Demonstrates respect and regard for the dignity of all patients, families, visitors, physicians, and fellow employees to ensure a professional, responsible, courteous environment.

  • Delivers care with regard to patient rights.
  • Maintains confidentiality of all hospital and patient information according to HIPAA.
  • Presents a neat appearance and wears proper attire and identification as required by the position, department, and policy.
  • Displays a positive, compassionate attitude, contributing to overall customer service that heightens the overall perception as a preferred provider.
  • Holds self and others accountable for meeting patient/customer service standards and thoroughly pursues patient/customer issues.
  • Demonstrates willingness to identify and/or assume activities relative to the developmental needs of the department.
  • Demonstrates dependability/flexibility in meeting scheduling needs of the department and hospital.
  • Accepts assignment as preceptor for new staff.
  • Completes work assignments on time/readily accepts assignments as observed by manager.
  • Reports to work on time and is at work as scheduled, as observed by senior leadership.
