Front Desk Reception:
- Greet visitors and guests in a warm and friendly manner, providing excellent customer service.
- Manage incoming calls, transferring calls to the appropriate departments or taking accurate messages.
- Maintain a neat and organized reception area, ensuring a welcoming environment.
- Handle incoming and outgoing mail, packages, and deliveries.
- Schedule appointments and manage conference room bookings.
Administrative Support:
- Provide administrative assistance to various departments, including managing calendars, scheduling meetings, and arranging travel itineraries.
- Assist with document preparation, data entry, and maintaining records and files.
- Conduct research and compile information as requested.
- Coordinate and organize office events, meetings, and conferences.
- Assist with inventory management and ordering office supplies.
Communication and Correspondence:
- Respond to inquiries, emails, and correspondence promptly and professionally.
- Communicate effectively with internal staff, families, and all other stakeholders.
- Assist in drafting and proofreading documents, reports, and presentations.
Office Operations:
- Collaborate with various departments to ensure smooth office operations.
- Coordinate with IT and facilities management for equipment maintenance and repairs.
- Monitor and maintain office supplies and inventory levels.
- Assist in implementing and improving office policies and procedures.
Qualifications:
- High school diploma or equivalent; additional certification or associate's degree in office administration is a plus.
- Proven experience as an administrative assistant, receptionist, or in a similar role.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), Canva, google suites, and other office software.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Attention to detail and problem-solving skills.
- Ability to multitask and prioritize tasks effectively.
- Professional demeanor and strong customer service orientation.
