Job Title: Operations Project Manager
Reports to: Director, Operations
Department: Operations
Pay : $80,000-$95,000 yr. DOE
Schedule: Hybrid – 2-3days/week at HQ or at program sites
The Operations Project Manager will work in partnership with the Director of Operations and COO to identify, create, implement, and continuously improve workflows and processes across the agency. This role will focus on streamlining administrative and operational processes, ensuring that all tasks are completed in a timely, effective, and standardized manner.
The Operations Project Manager will bring a strong aptitude for technology and process automation is essential to success in this role. Supporting the Chief Operating Officer directly, responsibilities will include project management, data analysis, internal and external written communication, advocacy efforts and engagement in cross agency initiatives.
This is an exciting role for a proven, highly-skilled manager that has a growth mindset, detail orientation, and interest in working closely with agency leadership on strategic projects and priorities.
Essential Functions & Responsibilities
Workflow & Process Building
- Design, implement, and refine workflows to optimize operational efficiency and ensure streamlined processes across departments.
- Analyze current workflows, identify bottlenecks, and recommend and implement process improvements to eliminate inefficiencies.
- Monitor the performance of workflows to ensure compliance with established guidelines and organizational goals.
- Work closely with department leaders to ensure workflows align with overall business objectives and strategies.
- Leverage technology (project management tools, process automation software, etc.) to track workflow progress, analyze data, and generate performance reports.
- Develop and maintain documentation for workflows, standard operating procedures (SOPs), and training materials.
- Identify opportunities for automation or digitization to further improve workflow efficiency.
- Regularly review and update processes to ensure they stay relevant and aligned with the organization’s needs.
- Provide ongoing support and guidance to teams to ensure workflows are followed consistently.
- Lead and support the administrative assistant, ensuring they are trained and equipped to handle routine tasks effectively.
Operations
- Support Operations Department by backstopping Operations Manager on key operational projects
- Manage agency level operations projects that help to strengthen systems, cross-agency functions and processes.
Cross Agency Initiatives
- Provide support on high level projects as outlined by Chief Operating Officer and Chief Strategy Officer – ensuring cross agency coordination to achieve deliverables and outcomes
- Draft project workplans and flow charts, managing follow-up on key deliverables.
Data Utilization
- Partner with the Learning & Evaluation Team (LE) team to identify and integrate data into project planning, monitoring and reporting as well as communications.
- Contribute to agency dashboard with regular tracking and reporting of key indicators to reflect assigned projects.
- Research external sources for data to inform program and advocacy decisions on strategic targets and priority issues.
- Perform other duties as requested or as responsibilities dictate.
Administrative Support & Advocacy
- Schedule and support key meetings involving or hosted by COO
- Provide direct project management and communication support to COO for critical projects
- General project support for Chief Strategy Officer and Advocacy Team.
- Gather and document Lobbying Activities from CAM Staff and Leadership.
Support meetings and county-wide collaboration on Advocacy Initiatives such as Immigrant Justice and Tenant Rights.
Qualifications
Education: Bachelor’s degree or equivalent professional work experience that contributes to successfully performing the key job functions. Experience:

Software: Advanced ability in Microsoft Office applications: Sharepoint, Outlook, Word, Excel, Project Management software (Asana) and Internet Explorer. Confidential and Sensitive Information: Ability to maintain the highest level of confidentiality. |
