Join Albertina Kerr as a Part-Time Intake Coordinator – Make a Meaningful Impact in Adolescent Mental Health Care

In its Subacute Crisis Stabilization Psychiatric Facility (Subacute Facility), Albertina Kerr cares for adolescents experiencing a serious mental health crisis, giving them a safe place to land after surviving a traumatic event. The Intake Coordinator I plays a critical role in patient recovery at the Subacute Facility by utilizing trauma-informed practices to liaise with parents, guardians, and referring partners to complete patient intake and admissions.

This is a Part Time position with a 24-hour/week schedule (Wednesday–Friday), with a preference for candidates who have some weekday flexibility for shift coverage. Hybrid schedule with a minimum of 1 in office day per week.

Your Role

  • Review and assess patient referrals to determine clinical appropriateness.
  • Balance referral needs with real-time staffing and milieu factors while communicating directly with patients, families, and providers using trauma-informed, empathetic, and professional practices.
  • Guide parents and guardians through the intake process, including verifying insurance coverage and completing pre-authorizations.
  • Manage referrals through Epic or other electronic health record (EHR) systems.
  • Conduct outreach to hospital and community mental health providers.
  • Update referring partners with information on admission dates and treatments outcomes.
  • Maintain accurate and timely documentation and workflows to ensure a smooth admissions process.
  • Collaborate with internal teams and external partners to remove admission barriers and support ongoing improvements to the intake experience.

Qualifications


  • Bachelor’s degree in a behavioral sciences field; or a combination of three years relevant work, education, training, and experience to qualify as a QMHA.
  • At least one year of experience providing customer service in a health and human services setting.
  • Strong written and verbal communications skills.
  • Ability to multi-task with strong organizational, decision-making, and critical thinking skills.
  • Proficiency in Microsoft Office Programs (Teams, Excel, Outlook, Word, etc.) with the willingness or capacity to learn advanced skills if necessary.
  • Ability to meet all background check and reference requirements.

Preferred Qualifications:

  • Experience using an EHR system; preferably EPIC, and familiarity with chart review and referral entry processes. Ability and willingness to learn or adapt to a new EHR if necessary.
  • At least one year of experience with health insurance authorizations.
  • Knowledge of health insurance entities and mental and behavioral health programs in Oregon and Washington.
  • Knowledge of behavioral health risk assessment and experience evaluating clinical criteria.
  • Experience with care coordination.
