Job Summary:

Our corporate activities are growing rapidly, and we are currently seeking a full-time, office-based Office Assistant to join our Facilities team. This position will work on a team to accomplish tasks and projects that are instrumental to the company’s success. Responsibilities :
  • Greet visitors in a friendly and professional manner.  Proactively find solutions or resources to solve for unforeseen visitor related issues;
  • Responsible for visitor management and enforcing Security protocols at assigned area including the external meetings floor;
  • Coordinates 2nd floor conference rooms. Schedules lunches, catering as needed;
  • Ensures the conference rooms and 2nd floor space is neat & tidy, chairs in proper positions, trash off tables, cords put back, etc.;
  • Responsible for coffee setups and supporting meeting needs for the 2nd floor;
  • Supports stocking of beverage and catering supplies, refrigerators and equipment on L2 and L7;
  • Coordinates housekeeping needs with our vendor, proactively checks for room preparation including furniture set-up and cleanliness;
  • Responsible for on-site employee store, stocking, and inventory;
  • Responsible for vendor coordination of catering, breakroom/ catering supplies, coffee, market items, etc.;
  • Works closely with other department admins to facilitate external and internal meetings, including catering needs and room set-up requests;
  • Ensures all visitor and employee experiences on the conference room floor are excellent, provides input to improve processes with Facilities Management;
  • Works closely with IT Support to ensure conference room AV or technology issues get resolved quickly;
  • Primary backup for Reception Coverage;
  • May be asked to assists with employee experience and social events. Working after-hours, weekends if needed;
  • Cross-trained to support and back-up other Facilities & Campus Services positions;
  • Other tasks and projects as assigned by Facilities Management team.
Qualifications :
  • High school diploma or equivalent;
  • Experience Office support/administration function;
  • Excellent written and verbal communication skills;
  • Excel skills and overall knowledge of Microsoft Office software preferred;
  • Exceptional team work skills;
  • Ability to work independently.
