About the Department
The IT Application Specialist – Records Management is responsible for supporting, maintaining, and enhancing the City’s electronic records systems, with a primary focus on the Laserfiche platform. This position also serves as the Projects Coordinator for IT-related implementations and supports a wide range of municipal software applications. This role requires strong technical expertise, excellent communication skills, and a commitment to public service.
Position Duties
- Provide application support and training for Laserfiche File Repositories, Laserfiche e-Forms, Microsoft Office, New World ERP, EnerGov Permitting & Planning, SQL database management & SSRS report building, and other systems as needed.
- Coordinate software projects and implementations for the Information Services department.
- Serve as evening audio and multimedia technician during official City Commission meetings.
- Create, present, and assist with training for City and Police Department employees on various applications.
- Develop and maintain a standardized IT orientation program for new hires.
- Maintain regular in-person attendance during City business hours to ensure effective coordination and access to workplace resources.
- Work with outside vendors and consultants to facilitate rapid repair of defective or inoperative software.
- Oversee document imaging and records management system implementation.
- Create procedural and configuration documentation as requested by IT staff.
- Assist with training and demonstration setups for vendors and external stakeholders.
- Research and recommend upgrades or replacements for software systems.
- Collaborate with vendors to obtain quotes and proposals for software and services.
- Participate in budget planning and coordination for assigned application areas.
- Provide user support and manage all application-related Help Desk requests.
Minimum Qualifications
Knowledge, Skills, and Abilities:
- Hands-on experience with Laserfiche, including workflow design, repository management, and user administration.
- Familiarity with records retention schedules, public records laws, and digital archiving standards.
- Strong analytical, troubleshooting, and communication skills.
- Ability to work independently and collaboratively across departments.
- Bachelor’s degree in Information Technology, Computer Science, or a related field.
- Minimum of three (3) years of experience in application support or systems administration, preferably in a municipal or government setting.
- Certifications in Laserfiche, ITIL, or relevant platforms preferred.
Other Qualifications
- Primarily office-based with occasional remote support.
- May require evening or weekend hours for meetings, upgrades, or emergency support.
- Must be able to lift and move equipment up to 25 lbs.
