Position Summary:
Responsible for the administration of the Office of Financial Aid and providing support for integrating Financial Aid into a strategic enrollment management organization to achieve defined optimal enrollment.
Major Duties & Responsibilities:
- Establish financial aid policies and procedures within federal and state guidelines with the mission of the College in mind.
- Investigate sources and funds to meet student needs, preparation of applications for funding and documentation of need for assistance.
- Administer federal, state, college and private funding programs.
- Recruit, manage and evaluate Financial Aid Office staff.
- Plan best use of resources available for campus-based aid for future academic years, develop projections of needs.
- Maintain data in computer system to ensure availability for many varied reports. Responsible for meeting all deadlines in relation to compiling and submitting required reports such as the: Federal Fiscal operating Report and Applications for Funds, Federal Pell Grant reporting, Health Professions Student Loan, State Education Dept., reports required for other reporting purposes, for accounting needs, weekly reports and data for planning.
- Review Free Application for Federal Student (FAFSA) and verify them as required by Federal Regulations by collecting verification forms and income tax returns and contacting parents and/or students. Correct forms where necessary. Recomputes FAFSA when data proves inconsistent with submitted figures.
- Award and administer financial aid that is Federal campus-based aid. Study new regulations, legislation and philosophies, which affect the delivery of student aid. Comment on proposals to government agencies and Congress. Communicate changes to students, parents, other college administrators and guidance community.
- Monitor and adjust financial packages to avoid over funding of students due to changes in TAP, Pell awards, and other outside assistance.
- Advise students regarding their eligibility for assistance, their general financial management and obligations as a result of receiving such aid.
- Assess prior year reports for adequacy and effectiveness of programs in meeting student’s needs.
- Set fair educational expense budget for upcoming year, dependent on survey of maintenance costs incurred by students.
- Process Federal Pell, FSMART and FACG Grants and perform federal verification requirements for all students with federal student aid. Collect documentation on income date, number in household, newly required additional data on independent students. Prepare and submit all required reports for ISIR processing and award payments.
- Reconcile and Transmit student rosters for payment of New York State Tuition Assistance Program (NYSTAP), Child of Veteran awards with College Bursar. Communication with students, their parents, and New York State Higher Education Services Corp. (NYHESC) in problem cases. Also perform many fiscal duties in connection with remittance advice and accounting reports from NYHESC.
- Cooperate with Admissions staff to ensure that incoming students and their parents are aware of our financial aid policies and available program. Interview visiting students. Participate in open houses and visitation days for incoming students.
- Oversee work-study program.
- Prepare periodic campus newspaper articles to keep student informed.
- Attend workshops, conferences and training sessions to learn new regulations and procedures.
- Participate in professional student aid associations to keep abreast of political climate for aid programs and to support actions directed toward improving the delivery of financial aid, and the design and funding of individual programs.
- Reconcile all transmitted aid with Bursar’s office to insure that proper awards have been credited to Student Accounts.
- Establish key performance indicators and assessment measurements for the Financial Aid operation and provide quarterly update on related strategies and measurements. (ie Discount Rates, Pricing, Average Need Met, Competitor Analysis, and Diversity)
Education and Experience:
- Bachelors required and five years experience in related field
- Master’s degree preferred.
