Summary:
The Office Assistant will manage the day-to-day business activities of the Highland Electric Fleets office located in Beverly, MA. This position is an on-site part-time role in our Beverly, MA office Monday through Thursday 8:30am - 1:30pm (flexible).
Responsibilities:
Manage office day to day operations and be a point of contact for visitors
Office and kitchen supplies inventory tracking and ordering
Maintain room reservations and office space coordination along with maintaining office furniture. Responsible for food delivery and catering for events, meetings and new hire orientation.
Travel arrangement for new hires and team member events.
Expense report audits and point of contact for Expense platform (Brex).
Coordinate regularly with the building maintenance and management team for any physical building needs and updates. Manage mail distribution and package deliveries on a daily basis.
Handle confidential information with discretion
Qualifications:
3-5 years of relevant work experience (i.e. office management, administrative assistant)
Strong level of autonomy and initiative in project and task completion along with proactive mindset assessing office needs for smooth day to day operations
Ability to prioritize responsibilities and projects along with day-to-day operations
Verbal and written communication skills; able to communicate with all levels of the organization and external partners
Team player mentality with a passion for creating a positive and productive work environment and space
