JOB DESCRIPTION: POSITION DESCRIPTION
The Administrative Clerk IV performs all of the clerical responsibilities outlined in the C-6 Administrative Clerk role, including secretarial and some administrative work at a skilled level to support a department and/or major administrator(s), with evolving complexity in duties. This person is knowledgeable of all school programs and procedures in order to relay this information accurately to the staff and public. They are often a support, or co-assigned more demanding projects than simple clerical tasks.
ESSENTIAL JOB FUNCTIONS

• Cross-trained in functions associated with the School Secretary I
• Provides clerical support to department administrators.
• Composes routine correspondence and other materials without instruction.
• Provides information to the public relating to policies, procedures, programs and schedules.
• Gathers material, data and information for reports.
• Maintains information on a school/district website.
• Supports the maintenance of the department administrator’s calendar.
• Prepares and sends out building permits.
• Inputs and processes data into information systems.
• Supports the organization and preparation of materials for publication.
• Regularly receives information of a confidential nature and is responsible for restricting the disclosure of the information.
• Prepares and sets up for meetings/conferences.
• Supports the maintenance of files and records for both staff and students.
• Maintains inventory of office supplies, materials and equipment.
• Operates computers, fax, laminator, multifunction copiers and printers with efficiency.
• Supports other offices as directed.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
• Knowledge of office procedures, Town and/or Newington Public Schools’ procedures.
• Knowledge and proficiency of Microsoft Word, Excel, PowerPoint, and Outlook.
• Ability to use computer equipment and related software programs.
• Ability to use Outlook to manage calendars to set up appointments and email.
• Ability to extract specific information from a given database.
• Ability to learn new software programs and quickly become proficient.
• Ability to deal effectively with staff and the public.
• Ability to process paperwork accurately and efficiently.
• Ability to multitask efficiently.
• Ability to react to crisis situation in a calm, effective manner.
• Ability to maintain confidentiality.
• Ability to compile data as requested.

• Ability to be able to work in an office setting of constant interruption.

REQUIRED MINIMUM QUALIFICATIONS
• High School Diploma or GED
• Two years of progressively responsible secretarial or office administrative work.
LICENSE OR CERTIFICATE
Valid Connecticut Driver’s License
