The General Office Clerk I-S is the receptionist and maintains school student records for the school. The General Office Clerk I-S reports directly to the School Principal and receives directives from the Assistant Principal(s).
ESSENTIAL JOB FUNCTIONS:
Responsible for responding to visitors and inquiries for the school from parents, students, etc. at the main entrance/front desk, following security procedures of the school department
Responsible for answering all incoming calls for the school; taking messages, directing calls, and assisting callers when applicable in a timely and accurate manner
Responsible for sorting and distributing incoming mail
Responsible for maintaining the daily visitor log and issuing visitor passes
Responsible for documenting student late arrivals and early dismissals and maintaining a daily attendance log for students
Responsible for collecting medical notes from students for the school nurse
Responsible for responding to intercom calls as needed
Responsible for collecting school lunch applications and forwarding them to the School Administration Building
Provides student information to all faculty, staff, and other organizations as directed
Maintains faculty parking list as needed
Maintains and updates student information systems as directed
Provides support to other clerical staff and the Lead Secretary as needed
Ability to perform other duties assigned by the school principal to meet the specific needs of the Pawtucket School Department and its students.
KNOWLEDGE, SKILLS, AND ABILITIES:
Ability to maintain confidentiality
Strong problem-solving skills with data to independently interpret guidelines
Ability to use sound judgment and knowledge of student behaviors and school department policies and procedures to make decisions
Strong interpersonal skills
Ability to establish and maintain effective working relationships and to practice patience with employees, students, supervisors, and the general public
Proven experience in attention to detail and timely completion of tasks and paperwork requirements
Ability to work in a fast-paced environment while prioritizing and executing tasks effectively
Ability is also required to work with and communicate with a significant diversity of individuals and/or groups, meeting deadlines and schedules; setting priorities; working as part of a team;
REQUIRED QUALIFICATIONS:
High School Diploma or equivalent
Proficiency in working with computers; working knowledge of Google Docs and Google sheets and/or Microsoft products
PREFERRED QUALIFICATIONS:
Experience with Skyward
Bi-lingual
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
Frequently required to stand, sit and walk
Occasional lifting or carrying weighing up to 25 pounds
The working conditions (light, noise level, temperature, etc. are typical of (primarily) an office setting
Specific physical abilities include close vision and the ability to use computer monitors for long periods of time and communicate verbally in person and on the telephone.
