ABOUT THE OPPORTUNITY

Avoya Travel is hiring a full-time Events Coordinator. 

We’re looking for a dynamic, highly organized, and outgoing Events Coordinator to join our team! This role is perfect for someone who thrives in fast-paced environments, loves bringing people together, and isn’t afraid to take initiative. The ideal candidate is a go-getter with a passion for planning memorable experiences and the flexibility to travel as needed to support events across various locations.

The Events Coordinator will work to support the growth and implementation of Avoya Travel events, which foster both supplier partnerships and Avoya Network relationships. The Events Coordinator will be responsible for supporting the planning and execution of major company events, overseeing virtual events for the Avoya Network, broadcasts, website registration creation, registration tracking, and additional duties as assigned.

 

ESSENTIAL DUTIES AND RESPONSIBILITES

  • Responsible for the event website creation, registration tracking, payments, and communication with the Avoya Travel Independent Agency Network for various Avoya events.
  • Responsible for the communication, scheduling, creation, and facilitation of professional development and educational opportunities via virtual events with the Independent Agency Network.    
  • Assist in the coordination of Company Events including the annual Avoya Travel Conference, the Avoya Travel Land Forum, Million Dollar Showcase, (both virtual and in-person); in-office employee, Independent Agency Network, and Supplier events; Independent Agency Network events; and other small-scale tradeshow/conferences.
  • Track virtual event attendance and assist in creative ways to increase attendance and interaction during virtual events.  
  • Track and support the coordination of event and professional development plans per preferred supplier’s partnerships (over 80+ brands).
  • Assist the coordination of schedules, budgets, and event logistics, including venue coordination, attendee registration, gathering presentation materials, and collecting post-event feedback with supervision.
  • Assist internal Departments (Strategic Partnerships, Brand Sales, and Network Enrichment) to help produce educational opportunities to enhance and continue the education and growth of the Independent Agency Network.    
  • Collaborate with and support the Department with various events and projects.   
  • Assist with other tasks and/or special projects as required.


 

REQUIRED SKILLS, KNOWLEDGE, AND ABILITIES

  • Must be highly organized and have a strong attention to detail.   
  • Holds the ability to multi-task and work in a fast-paced, changing environment.   
  • Excellent time management, interpersonal and communication skills, both written and verbal.  
  • Must have the ability to communicate clearly and directly with Corporate Executives, travel partners, and Independent Agency Network using a positive, clear speaking voice.  
  • Strong computer systems skills including Excel, PowerPoint, Word, and Zoom Webinars. 
  • Technical skills with event management platforms (experience within Swoogo, Accelevents and Cvent are preferred)  
  • Ability to handle situations in a calm, professional manner and think quickly on their feet.   
  • Team player and can collaborate effectively with other Departments.    
  • Ability to work a flexible schedule.  
  • Presents a professional and tidy appearance (virtually or in person) while conducting educational sessions, calls, and/or meetings (when cameras are on). 
  • Employees who work from home (part-time, full-time, or on occasion) must be able to meet performance standards and department requirements in a productive and professional environment.
  1. This includes the ability to work with little or no distraction(s), consistent internet connectivity, regular and ongoing communication with supervisors(s), reliable childcare and/or eldercare (if applicable), and depending on the role, the ability to discuss and protect all confidential information (company or people related).
  • Presents a professional and tidy appearance (virtually or in person) while attending calls, and/or meetings. 

 

EXPERIENCE AND/OR EDUCATION

  • Minimum of two (2) years of events experience, party planning, or similar experience.

PHYSICAL REQUIREMENTS 

  • Travel to assist with different events is a minimum of 20%. You will be traveling multiple times a year to assist with different events. 
  • Initial setting up of receiving laptop, monitor, keyboard, headset, and mouse.
  • Stationary periods of working from a computer (ability to type, read, review, write, etc.).
  • If sitting at a desk, ability to sit for prolonged periods of time within an 8-hour workday. 
  • Ability to occasionally lift, carry, push, or pull up to 50 pounds with assistance. 
  • Ability to speak English clearly, in a friendly manner, and at an appropriate volume over the company’s provided phone system.
