Position Overview
The Client Services Representative is responsible for providing reception and administrative services in the client space.
Key Accountabilities
- Greet clients as they arrive and notify and direct guests to meeting rooms.
- Answer and forward incoming calls in a timely and professional manner.
- Assign, monitor and track visitor badges and pass cards for clients, new hires and vendors.
- Receive and log documents delivered to reception and notify appropriate party of receipt.
- Monitor boardroom requests and ensure proper setup and service, including restocking supplies.
- Maintain the reception area and boardrooms in a tidy and presentable manner.
- Review and update firm phone and boardroom directory lists.
- Assist and provide backup coverage to members of the meeting services team.
- Provide general administrative support including printing, scanning and distribution of taxi chits.
Attributes & Experience
- Secondary school diploma or equivalent experience to successfully complete the essential requirements of the role.
- 1+ year related experience (i.e. reception/switchboard), preferably within a law firm or professional services firm.
- Strong working knowledge of MS Office product suite.
- Excellent client service orientation and familiarity with a formal business environment.
- Strong organizational and time management skills to effectively prioritize with minimal supervision.
- Excellent communication skills (verbal and written) with the ability to interact with individuals at all levels within the organization.
- Strong interpersonal skills with the ability to work well both independently and collaboratively within a team environment.
- Sound judgment including the ability to deal with confidential information with utmost discretion.
- Ability to remain calm and work efficiently in a fast paced, high-pressured environment.
Additional information
This position will be in the office 5 days per week.
