The Position
The purpose of the Operations Assistant position is to support pRED NRD teams and/or networks with coordination and execution of administrative tasks and projects, events and meeting management. The Operations Assistant is the Single Point of Contact to one or more teams and/or networks within the pRED NRD DTA. They collaboratively work with other assistants to share best practices and ensure consistent approach across the organization.
The Operations Assistant position is part of the NRD Operations team.
Responsibilities include but are not limited to:
Event & Meeting Management
Support the planning and execution of internal and external meetings (e.g. team meetings, offsite events, seminars, advisory boards) requiring virtual, hybrid or onsite set-ups
Serve as the main point of contact to the Contract Management Team to support team members in setting up contracts with external speakers incl. Health Care Professionals
Serve as the main point of contact for external guests to coordinate visits (e.g. scheduling, travel arrangements, agenda, onsite logistics, process expense reports)
Manage logistics including venue, catering etc.
Manage and coordinate calendars for team members for complex meetings
Support team members with complex travel arrangements
Recruitment, Onboarding & Offboarding
Coordinate and organize candidate interview process (scheduling, travel, hosting during interviews, candidate expenses) partnering with Talent Acquisition and Hiring Manager and panel members throughout the process
Manage administrative components and logistics of on-/offboarding (ensure new hires orientation, devices and technology is functional, etc.)
General administrative support and services
Maintain document repositories and databases (contact lists, distribution lists, gSites etc.)
Provide system support (e.g. Concur for travel, MyBuy for purchasing)
Contribute to special projects and initiatives as required
Manage and process Purchase Orders (POs), invoices, payment tracking, vendor maintenance and cost center maintenance support
Identify and drive process improvements and cost reductions
Deputize/support with Time Management (JAZ) tasks
Deputize other assistants in their absence
Requirements
Successfully completed commercial training
5+ years experience as an assistant or comparable commercial activity
Fluent spoken and written English
Proficient in cSuite, MS Office suite and familiar with digital tools
Working style: team player, strong organizational skills, ability to work independently, high degree of accuracy, attention to detail
Outcome oriented: ability to prioritize, deliver results according to timelines
