Job Title: Events & Donor Experience Specialist
Reports To: Vice President of Resource Development
Location: Everett WA
Position Summary
The Events & Donor Experience Specialist plays a critical role in achieving successful fundraising events and donor experiences. This position will support planning, logistics, donor stewardship, data management, and administrative tasks associated with annual gala, club, and special events The Events & Donor Experience Specialist directly supports and takes direction from the Director of Events & Donor Experience to ensure timely communication, efficient event execution, accurate donor records, and detailed follow-through to enhance donor relationships and maximize event impact.
Key Responsibilities
Donor Data & Record Keeping
- Maintain accurate and up-to-date donor, sponsorship, and event records in Raiser’s Edge or other designated systems to ensure data integrity for all fundraising activities.
- Record and track all gifts, pledges, sponsorships, and event income promptly, following established donation intake procedures.
- Process and prepare timely donor recognition letters and acknowledgements for event sponsorships, donations, and auction contributions.
- Reconcile event-related income and donor records with accounting as directed to ensure financial accuracy and reporting alignment.
- Assist with preparing and analyzing development activity reports for the President/CEO, Vice President of Resource Development, director of Events & Donor Experiences and event teams to inform strategy and decision-making.
- Pull and prepare data lists as requested for direct mail appeals, event invitations, donor prospecting, and stewardship activities.
- Submit and track pledge invoices for event sponsorships, appeals, and other income-producing streams to ensure timely collection.
- Maintain systems for accurate recording of donor contact notes and interactions, supporting Resource Development staff in donor relationship management.
- Support research efforts to identify interests and giving capacity of event donors or sponsors, and prepare data to inform cultivation strategies.
- Assist with training or supporting other staff in basic Raiser’s Edge data entry processes under direction, to maintain organization-wide data accuracy standards.
- Ensure confidentiality and integrity of donor data in alignment with Boys & Girls Clubs policies and ethical standards.
Donor Stewardship & Communications
- Draft and prepare donor acknowledgements, assist with thank-you mailings, emails, and follow-up calls to sponsors, auction donors, and attendees to ensure a positive donor experience.
- Assist in the planning and development of annual appeal campaigns.
Sponsorship Support
- Track incoming sponsorships, follow up on outstanding pledges or invoices under direction, and prepare sponsorship packets or materials as needed.
Marketing & Promotion Support
- Support the preparation and distribution of event marketing materials, social media posts, program books, catalogues, and sponsorship recognition pieces in coordination
Event Planning Support
- Assist with event planning tasks including venue research, vendor communications, scheduling, ordering supplies, preparing decorations, and coordinating event timelines.
Volunteer & Staff Coordination
- Assist with scheduling, communications, and day-of coordination of volunteers and staff at events to ensure smooth logistics, registration, and guest experience.
Event Logistics Support
- Provide hands-on support during event set-up, registration, guest relations, and tear-down. Assist with table assignments, signage placement, and post-event clean up.
General Administrative Support
- Provide administrative support to the Club, Gala, and Special Events team including filing, copying, supply inventory, ordering, and general office tasks.
Other Duties as Assigned
- Support additional projects or duties that enhance fundraising, stewardship, or event success.
Required Qualifications
- High School diploma or GED
- Minimum of 2 years of experience in administrative support, fundraising, event coordination, or donor relations
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong attention to detail and experience maintaining accurate records or data systems
- Excellent organizational, written, and verbal communication skills
- Ability to remain positive, professional and service-oriented in a fast-paced environment
- Ability to work flexible hours including occasional evenings and weekends
- A valid Washington State driver’s license, an acceptable driving record (as determined by our insurance provider), and the ability to be insured under the organization's vehicle policy
Preferred Qualifications
- Associate’s or Bachelor’s degree in Nonprofit Management, Business Administration, Communications, or related field
- Experience using donor database software such as Raiser’s Edge, Bloomerang, DonorPerfect, or Salesforce
- Previous experience supporting fundraising events or campaigns
- Familiarity with social media platforms and marketing tools (e.g., Canva, Mailchimp, Constant Contact)
- Experience working in a nonprofit or youth-serving organization

Actual compensation will be determined based on a variety of factors, including but not limited to relevant education and experience, and job-related skills and competencies.
