The Role

 

We have an exciting internal opportunity for a colleague to support the administration of some key Organisational Development duties in the provision of Occupational Health & Safety Service (OHSS) training services. This will include working with the Health & Safety Advisers and the OHSS service. 

 

A key part of the role is the organisation of OHSS training delivery.  You will also support the organisation with the monitoring of programmes, record keeping and invoicing. We are therefore looking for someone with great organisation skills with the ability to deal with multiple priorities and deal with stakeholders effectively.

 

This role is part time for 22.5 hours per week.

Key Accountabilities

•    Contribute to the effective and efficient running of the service through a collaborative team approach, providing assistance to colleagues as appropriate
•    Maintenance of databases and systems
•    Manage training set up, delivery and records
•    Engage and work with external training providers in the planning, organisation and completion of Health and Safety training. E.g. First Aid
•    Deal with general queries when received, taking responsibility for ensuring a suitable response is provided to more complex queries where further advice has been sought
•    Generate routine reports from systems as required
•    Contribute to Organisational Development processes in support of continuous improvement.
•    Provide assistance to, and cover for, other Administrators, as required
•    Process requisitions, goods receipts and invoices for the provision of purchases in line with relevant legislation
•    To undertake other tasks commensurate with the grade, as required by the OHSS Manager

 

The Person (Essential)

 

Knowledge, Skills and Experience 

•    Good level of IT skills, particularly MS Office
•    Excellent organisational and interpersonal skills
•    Previous experience of providing administration in a very busy customer
    orientated environment
•    Ability to write succinct, clear reports to a high standard


Desirable

•    Experience of providing administration for multi-disciplinary training programmes
•    Awareness and understanding of Higher Education

Qualifications

•    Educated to GCSE level (in English and Maths) Grades A-C, or equivalent, or demonstrable experience in a similar role
