Job Summary

The position requires a highly motivated and experienced Project Manager for grant-funded research projects within Professor Julia Henly’s Policy Levers for Equitable Employment and Child Care Research Lab. The Project Manager performs a variety of project management support and administrative tasks for multiple research projects. This position will be responsible for coordinating across organizations involved in collaborative research projects; maintaining updated timeline of deadlines and deliverables across projects; scheduling and taking notes at staff meetings and larger research meetings; supporting staff compliance with IRB/CITI training; managing grants administration and financial oversight for ongoing grants; support of new grant proposals (including supporting literature review, proposal formatting, some writing); updating project website; assisting with conference and manuscript submissions; and other miscellaneous administrative tasks.

The incumbent must have outstanding organizational and communication skills, excellent project management abilities, internet search fluency, and strong writing skills. The incumbent must also have strong interpersonal skills and able to communicate both assertively and empathetically to staff members, students, and others with whom they interact as part of this position. The incumbent must possess a strong work ethic, be punctual and reliable, quick to respond to emails, and be able to work collaboratively as well as independently. The incombuant will have a flexible work schedule with days/times developed collaboratively with supervisor. This position requires knowledge of MS Word, Excel, PowerPoint, web design skills, and proficiency at internet searches. Working knowledge of Dedoose, R, SPSS, and Qualtrics preferred but not required.

The term of the assignment is through September 29, 2026, and may be continued, dependent on future funding. The standard working hours are 10-15 hours per week.

Responsibilities

  • Financial & Administrative Oversight: Maintain accurate financial records, coordinate with grant administrators on expenditures, and prepare financial reports for funders. Manage office resources, including calendars, supplies, and electronic files. Provides administrative support for the Policy Levers Research Lab as directed. Supervise temporary staff and student workers as needed.
  • Project Coordination & Reporting: Develop timelines, delegate responsibilities, and track progress toward research goals. Ensure timely submission of applications and reports, including IRB and funding agency correspondence.
  • Coordination across Research Partners: Coordinate with Principal Investigators and research partners at the University of Chicago and partner organizations on project meetings, IRB applications, reports, conference submissions, and compliance-related activities.
  • Applies research principles and relevant subject matter knowledge relevant to administer a research project. With a moderate level of direction, manages lab and/or research-related duties and tasks. Helps develop, design and conduct research projects according to plan.
  •  Supports data collection and analytical needs of research projects. Conducts literature reviews and helps write reports and manuscripts. Ensures project compliance with different policies, procedures, directives, and mandates.
  • Performs other related work as needed.


Minimum Qualifications

Education:

Minimum requirements include a college or university degree in related field.


Work Experience:

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Preferred Qualifications

Education:

  • Master's degree in a related field strongly preferred.

Experience:

  • 2-5 years of experience with research project management, preferably in the field of public policy, social work, public administration, early childhood education, developmental psychology, family studies, or other applied disciplines.
  • Prior experience with conducting academic and/or policy research.

Preferred Competencies

  • Excellent organizational skills and keen attention to detail.
  • Ability to balance and prioritize work tasks effectively and on time.
  • Strong written and verbal communication skills, including technical editing skills.
  • Ability to work with spreadsheets, conduct simple statistics in Excel or another statistical package (e.g., STATA, R).
  • Maintain confidentiality and follow university policies regarding data security.
  • Working knowledge of policy and practice innovations related to childcare and early education, with an eagerness to develop further knowledge in these areas.

Working Conditions

  • Hybrid work schedule possible, on-site at the Hyde Park campus in Chicago, may be required no more than two times per week and often less
  • Specific work days/times to be set collaboratively with supervisor, with considerable flexibility to accommodate the project manager’s schedule. Once set, it is expected that the project manager will be available for work during that time, or with advance notice of any schedule modification.
