Description

Who We Are
Hi! We’re The Heist—the motion design, live action, and post production studio within Thinkingbox, the Brief-to-Built agency.

We bring directors, designers, animators, editors, and technologists together to create work that moves. From brand films to broadcast spots to social campaigns and experiential content, our team blends craft and curiosity to push ideas further. Across our studios, collaboration is real, feedback is open, and culture matters. We take the work seriously. Ourselves, a little less so.

About the Work
Our studio partners with global brands and emerging companies alike. Our teams collaborate across disciplines to produce engaging visual content across a multitude of platforms.

As Resource Coordinator, you’ll help support the creative teams behind this work by ensuring projects are properly staffed, schedules stay organized, and artists have the structure they need to focus on the craft.

The Opportunity
We’re looking for an organized and proactive Resource Coordinator to support our creative teams and help keep studio projects running smoothly. This role reports to the Director of Talent & Resourcing.

This role is a great entry point into the world of creative studio operations, where you’ll gain exposure to how creative projects are planned and executed.

What You'll Be Doing

  • Help Coordinate Studio Talent
Work with producers to help schedule motion designers, editors, designers, and directors across multiple projects.
  • Support Project Planning
Collaborate with production and creative leads to understand timelines, project needs, and staffing requirements.
  • Keep an Eye on Team Capacity
Monitor team workload and help flag potential scheduling conflicts or bandwidth challenges. Escalate major availability conflicts and outstanding needs in advance to allow enough time for problem-solving.
  • Maintain Scheduling Tools
Keep project schedules and resource assignments organized and up to date in our project management software so teams have clear visibility into upcoming work.
  • Support Studio Operations
Assist in tracking resource utilization and helping the team stay organized as multiple projects move through the studio.
  • Help Improve Processes
As you learn the studio’s production pipeline, contribute ideas that help streamline scheduling and team coordination.
  • A Day in the Life
On a typical day, you might update project schedules, check team availability for an upcoming project, reach out to freelancers to supplement staff availability, and coordinate with producers about staffing needs, all to ensure that artists are booked on the right projects at the right time.
  • What You'll Bring

  • Experience
1–3 years of experience in office coordination, operations, project support, or a fast-paced team environment. This could include internships, student organizations, studio experience, or other collaborative roles.
  • Organization & Attention to Detail
A strong ability to track schedules, tasks, and priorities across multiple projects.
  • Communication Skills
Clear written and verbal communication with the ability to collaborate across creative and production teams.
  • Tools
Familiarity with project management tools such as CETA, Monday.com, Notion, or similar platforms is helpful but not required.
  • Adaptability
Comfort working in a fast-paced creative environment where priorities are known to shift.
  • Creative Curiosity
A curiosity about motion design, animation, or digital creative work—even if you’re not a designer yourself.
  • Studio Mindset
You enjoy working with creative people and understand that great work often comes from collaboration, experimentation, and a little bit of organized chaos.
  • What You’ll Learn in This Role

In this role, you’ll gain hands-on exposure to how creative studios operate, including:

  • How motion design, live action, and post-production projects move from concept through delivery
  • How producers and creative leads plan teams and timelines
  • How studios schedule artists across multiple projects and disciplines
  • How project management tools support creative collaboration
  • How creative teams balance craft, deadlines, and client expectations
  • This role is designed as a growth opportunity. Many people who begin in resource coordination develop into roles such as Resource Manager or Producer as they gain experience with studio workflows and creative production.

Who This Role Is Great For

This role could be a great fit if you:

  • Are early in your career and interested in how creative projects come together behind the scenes
  • Enjoy organizing schedules, workflows, and team collaboration
  • Want exposure to motion design, live action and digital production
  • Are curious about careers in project management, resource management, or production
  • Thrive in environments where multiple creative projects are happening at once

  • Flexible time off, including paid vacation and sick days
  • Consistent culture and team-building events
  • Employee recognition and incentive programs
  • Seasonal celebrations and gatherings throughout the year
  • Office lunches
