About This Role
Lincoln Avenue Communities is seeking a polished, proactive, and highly adaptable Executive Assistant to support the Vice President of Portfolio Strategy on our Asset Management team. This role will also be providing general administrative support to our Portfolio Management function as well. In this role, you’ll be a true strategic partner—keeping priorities moving, bringing order to fast-changing schedules, and helping leaders stay focused and effective. From complex calendaring and travel coordination to presentation support, team event planning, and ad hoc projects, no two days will look exactly the same. We’re looking for someone who is organized, responsive, resourceful, and calm under pressure—someone who can shift gears quickly, handle the unexpected with ease, and bring a positive, solutions-oriented mindset to the team.

This is a hybrid position out of our Santa Monica HQ with a requirement of 3 in-office days.
What You’ll Do
- Keep executive calendars on track – manage moving schedules, competing priorities, and cross-functional coordination with ease.
- Make travel seamless – handle flights, itineraries, and logistics so every trip runs smoothly.
- Create polished materials – format, edit, and refine presentations and documents that are ready for the room.
- Bring team moments to life – coordinate meetings, offsites, and events from kickoff to wrap-up.
- Keep the details buttoned up – submit expenses, manage workflows, and help daily operations stay on course.
- Move documents across the finish line – coordinate signatures and keep important paperwork on schedule.
- Keep the team organized – maintain files, track reports, and capture key notes and follow-ups.
- Take ownership of special projects – step in on ad hoc assignments that support bigger team goals.
- Build trusted partnerships – work closely with colleagues, vendors, and stakeholders across the business.
- Be a reliable team player – provide backup support and jump in where help is needed most, including the broader Executive Assistant team and the Asset Management team’s Manager of Business Support.
- Handle occasional light personal support – assist with simple personal logistics when needed such as dinner reservations and booking flights.
- Create calm in a fast-moving environment – help the team stay focused, prepared, and ahead of deadlines.
- Use Gen AI as a productivity tool – leverage AI tools to help draft, summarize, organize, and streamline day-to-day work while keeping quality, judgment, and confidentiality front and center.
Requirements
What You Bring
- Prior experience supporting executives or senior leaders in a fast-paced environment, ideally in the finance industry.
- A genuine eagerness to grow your career and learn in a high-exposure role.
- Exceptional organizational skills and a sharp eye for detail.
- Strong calendar management experience and confidence juggling competing priorities.
- The ability to work quickly without sacrificing quality.
- Experience executing legal documents that require notarizations.
- Comfort with Gen AI tools – you’re excited to use AI thoughtfully to work smarter, move faster, and improve how work gets done.
- A flexible, easygoing, and adaptable approach—you’re comfortable navigating changing priorities and last-minute fire drills.
- A highly responsive and service-oriented mindset with strong follow-through.
- Excellent written and verbal communication skills.
- Strong judgment, discretion, and the ability to handle confidential information with care.
- A collaborative style and the ability to build trust across teams and levels of the organization.
- A willingness to roll up your sleeves and take on projects both large and small.
Your Education and Experience
- Bachelor’s degree preferred but not required.
- Minimum of 5 years of experience supporting executives or senior leaders in an Executive Assistant role, ideally in a finance environment.
- CA Notary Public commission is highly desirable; if not currently commissioned, willingness to obtain one is required.
- Advanced proficiency in Microsoft Outlook, PowerPoint, Word, and Excel.
- Proven ability to handle sensitive and confidential information with discretion.

The expected salary range for this position is $105,000 – $115,000 per year, based on qualifications and experience. In addition to the base salary, employees are eligible for a comprehensive benefits package:
