JOB TITLE: Receptionist / Administrative Assistant
LOCATION: Office located in Woodbridge, CT
REPORTS TO: Office Manager
SCHEDULE: Monday - Friday / 10:00 AM to 2:00 PM (with opportunities for more hours as workload increases)
JOB TYPE: Part-Time / Hourly
PAY RATE: $18.00 - 20.00 per hour

We are seeking a reliable, detail-oriented Receptionist / Administrative Assistant to support the day-to-day operations of our janitorial service company. The ideal candidate will play a key role in ensuring smooth administrative processes and the effective communication between office, field staff, and managers. This position requires excellent organizational skills, a proactive mindset, and a customer service-oriented attitude. We are a pet friendly office environment.
Main Job Tasks and Responsibilities
- Answer and direct inbound phone calls, emails, and other inquiries in a professional and timely manner.
- Receive and direct visitors of the building to the intended party.
- Prepare invoices, track payments, and follow up with managers and clients regarding billing issues.
- Order and maintain inventory for office supplies, employee uniforms, and warehouse cleaning materials and equipment.
- Prepare reports, maintain filing systems (physical and digital), and perform general clerical duties such as photocopying, faxing, and sending mail.
- Support HR in activities such as processing new hires, preparing cards and letters, and setting up employee training programs.
- Ensure compliance with safety, regulatory, and operational policies and procedures.
- Other duties that may be required.
Working Conditions:
- Office-based environment with regular interaction via phone and email.
- May require light physical activity such as organizing supplies or filing.
Requirements
- High school diploma or equivalent (Associate’s degree or higher is a plus).
- 1+ year of administrative experience, preferably in service or operations-based industries.
- Strong communication skills, both verbal and written.
- Proficient in Microsoft Office (Word, Excel, Outlook) or Google Suite.
- Ability to multitask, prioritize work, and meet deadlines in a fast-paced environment.
- Strong attention to detail and excellent organizational skills.
- Bilingual (English/Spanish) is required.
