Patient Coordinator | Full-Time | Outpatient | Tyler, Texas
This position is responsible for the day-to-day management of schedules for assigned locations. The Scheduler ensures each clinic maintains a full and efficient caseload by managing last-minute cancellations, call-outs, and regularly maintaining the waitlist. This role collaborates closely with Clinical Coordinators and treatment teams to support high-quality scheduling for both patients and staff.
Key responsibilities include maintaining one month of schedules in Raintree, adjusting schedules due to patient or staff changes, filling open times, calling families between 7–9am for last-minute openings, assisting with administrative tasks, and keeping waitlist and authorization information up to date. The Scheduler also helps new families navigate appropriate resources and works with marketing to keep wait time information current.
Requirements
- Education
- High school diploma or equivalent.
- Experience
- Customer service experience preferred.
- Skills & Expectations
- Ability to maintain accurate schedules and fill openings proactively.
- Strong communication with families, staff, and administrative teams.
- Ability to follow safety, confidentiality, HIPAA, and patient-rights guidelines.
- Comfortable with administrative tasks, documentation, and workflow coordination.

Physical Demands
- Ability to lift up to 50 lbs maximum; frequent lifting up to 25 lbs.
