This position will support Prescott's Inc.
Prescott’s Surgical Microscopes is seeking a dedicated and proactive Medical Equipment Billing Specialist to manage the digital order-to-cash process. This role is responsible for reviewing documentation received from Sales Administration, auditing orders for accuracy and completeness, and generating timely, accurate customer invoices. The ideal candidate combines strong invoicing expertise with a finance-focused mindset, ensuring precise billing for end users while maintaining compliance with inventory management procedures.
This role provides a competitive hourly rate between $24.00 - $25.00 per hour, depending on experience.
This position will be worked onsite at our facility in Monument, CO.
Responsibilities
- Prepare, issue, and manage customer invoices for equipment sales and microscope drapes, ensuring accuracy and timeliness. Serve as the primary point of contact for invoice-related customer inquiries, including providing invoice copies, addressing billing questions, and supporting field sales teams with documentation
- Partner with the Controller to resolve invoicing questions and perform audits, corrections, or adjustments as needed
- Process order fulfillments for drape sales and maintain accurate digital inventory records to support effective inventory management
- Review and validate applicable sales tax requirements, including tax-exempt documentation, to ensure compliant billing
- Verify serial numbers and correct part numbers for serialized assemblies and inventory items
- Maintain and update customer records in NetSuite, ensuring accurate account information and proper documentation
- Track and maintain accurate invoicing records related to customer equipment rentals
- Collaborate closely with the sales department and field sales representatives to support smooth order-to-cash operations. Cross-train with finance team members to support business continuity and provide backup coverage when needed
- Follow established standard operating procedures, billing workflows, and internal controls
- Identify recurring billing issues, analyze trends, and escalate findings to management for resolution
- Participate in ongoing training initiatives and contribute to process improvement efforts
Requirements
- High school diploma or GED required
- 2-4 years of experience in equipment billing, order processing, invoicing, or accounts receivable support
- Experience working with ERP systems (NetSuite/Oracle preferred) and spreadsheet‑based reporting
- Proven experience communicating directly with customers or end users in a professional setting
- Strong attention to detail with a high level of accuracy
- Excellent organizational, documentation and multitasking skills
- Strong written and verbal communication skills, both internally and customer-facing
- Effective time management skills with the ability to prioritize and meet deadlines
- Team-oriented mindset with the ability to work independently under minimal supervision
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, SharePoint, Teams)
- Must be able to successfully pass a pre-employment drug screening and background check
Preferred Qualifications
- Experience working with medical equipment, particularly surgical microscopes
- Familiarity with supporting audits or financial reviews
- Exposure to refurbishment, remanufacturing, or parts‑harvesting environments
- Experience coordinating cross-functional projects or initiatives
- Background in freight coordination or logistics for large, sensitive, or technical equipment
