O'Hagan Meyer is seeking a reliable and detail-oriented Time Entry Clerk to join our busy law firm in the Chicago Loop. The ideal candidate will be proactive, highly accurate, and take pride in producing error-free work. This individual will demonstrate discretion, professionalism, and strong problem-solving skills while ensuring attorney time is entered into the firm’s financial systems efficiently, timely, and accurately.

Essential Duties and Responsibilities

  • Time Entry Data Input: Accurately enter daily, weekly, and monthly billable and non-billable time from attorneys into the firm’s timekeeping software to adhere with the firm’s time entry policy deadlines (e.g., Aderant, iTimekeep).
  • Narrative Editing and Formatting: Review and edit time entry narratives for clarity, professionalism, and compliance with client guidelines (e.g., avoiding vague descriptions).
  • Client Guidelines Compliance: Ensure all entries comply with client-specific requirements, adjusting for any warnings or errors that appear in the system before submission including proper use of task and activity codes.
  • Discrepancy Resolution: Work directly with attorneys to resolve missing, incomplete, or duplicate time entries.
  • Quality Control: Review finalized entries for accuracy and completeness.
  • Confidentiality: Handle sensitive client and financial information with the highest level of discretion.
  • Additional Support: Assist with special projects and perform other duties as assigned.

Requirements

Qualifications, Skills, and Abilities

  • Strong and accurate typing skills
  • Proficiency in Microsoft Office (Excel, Outlook, Word) and Adobe (PDFs)
  • Excellent attention to detail and strong organizational skills
  • Strong data and task management skills
  • Clear, professional communication skills and a team-oriented mindset
  • Ability to prioritize tasks and meet strict deadlines in a fast-paced environment

Physical Requirements

  • Ability to sit for prolonged periods and work at a computer workstation

Position Details

  • Full-time, Monday through Friday
  • On-site for the first 60 days; thereafter, with manager approval, transition to a hybrid schedule (3 days in office)
  • Overtime availability required

Compensation:
Salary is based on experience.
Pay Range: $41,600 – $52,000 annually ($20 – $25 per hour)
