OVERVIEW

The Payroll Specialist – EMEA is responsible for the accurate and timely end-to-end processing of payroll across multiple countries within the EMEA region. This role ensures compliance with local statutory requirements, internal payroll controls, and company policies, while partnering closely with HR, Finance, and external payroll providers. The Payroll Specialist will operate within a Workday and manage outsourced payroll processing via ADP Celergo.

The Payroll Specialist will play a critical role with payroll preparation and providing administrative support to maintain smooth payroll operations. To be successful in this role, the ideal candidate must have attention to detail, the ability to multi-task, and a proactive approach to resolving payroll-related issues while maintaining strict confidentiality. 

Key Responsibilities

EMEA Payroll Processing

  • Manage end-to-end payroll processing for multiple EMEA countries using ADP 
  • Ensure payroll inputs from Workday (new hires, terminations, salary changes, bonuses, allowances, overtime, and benefits) are accurate and complete prior to payroll cut-off
  • Review, validate, and reconcile payroll outputs before final approval and payment
  • Ensure timely payroll sign-off in line with internal payroll calendars and SLAs
  • Handle payroll-related inquiries via the support ticketing system, ensuring prompt responses and issue resolution
  • Collaborate closely with the Manager to meet department needs and deadlines

Compliance & Governance

  • Ensure payroll operations comply with local labour laws, tax regulations, and statutory reporting requirements across EMEA jurisdictions
  • Maintain strong payroll controls to support SOX, internal audits, and external audits
  • Coordinate year-end payroll activities including tax filings, certificates, and statutory submissions
  • Monitor legislative changes across EMEA and assess payroll impacts in partnership with vendors and HR

Systems & Data Management

  • Act as the payroll subject matter expert for Workday payroll data integrations into ADP 
  • Perform data validation checks between Workday and ADP to ensure accuracy and completeness
  • Support payroll system testing related to Workday configuration changes, new country rollouts, or vendor enhancements
  • Maintain payroll documentation, SOPs, and process flows for EMEA payroll operations

Stakeholder Management

  • Serve as the primary point of contact for EMEA payroll-related queries from employees, HR, and Finance
  • Partner with HR to ensure employee lifecycle events are accurately reflected in payroll systems
  • Liaise with ADP and in-country payroll partners to resolve issues and drive continuous improvement
  • Provide clear guidance to HR and managers on payroll timelines, data requirements, and best practices

Reporting & Reconciliation

  • Reconcile payroll costs, statutory deductions, and benefits to the general ledger in collaboration with Finance
  • Prepare payroll reports, variance analyses, and audit support documentation as required
  • Investigate payroll discrepancies and ensure timely resolution with minimal employee impact

Continuous Improvement

  • Identify opportunities to streamline EMEA payroll processes and enhance automation between Workday and ADP 
  • Support payroll transformation initiatives, including country transitions, vendor changes, and process harmonisation
  • Contribute to improving employee payroll experience through clear communication and issue prevention

Skills & Experience

Essential

  • Proven experience managing multi-country EMEA payroll, either in-house or outsourced
  • Strong working knowledge of payroll legislation and statutory requirements across EMEA
  • Hands-on experience with Workday and ADP
  • Strong attention to detail with the ability to manage multiple payrolls and deadlines
  • Excellent communication skills and ability to work with cross-functional stakeholders
  • Strong organizational skills with the ability to manage high volumes of data with accuracy

Desirable

  • Experience supporting payroll audits and SOX controls
  • Knowledge of EMEA benefits, pensions, and social security schemes
  • Experience with payroll implementations, country rollouts, or vendor transitions
  • Payroll qualification (e.g. CIPP or local equivalent)
  • Languages would be desirable
