Position Summary

The Front Desk Receptionist and Test Proctor supports the Admissions Department by overseeing daily front office operations and ensuring a professional, welcoming experience for visitors and prospective students. This role is responsible for exam proctoring, appointment coordination, data tracking, and general administrative support. The ideal candidate is a self-starter who thrives in a team-oriented environment, demonstrates strong customer service skills, and maintains a high level of organization and attention to detail.

Essential Functions:

  • Manage the reception area to ensure effective internal and external communications while maintaining a professional and welcoming environment.
  • Proctor admissions and make-up exams in a secure, distraction-free setting.
  • Gather, organize, and maintain data related to Admissions activities and applicant files.
  • Review and summarize reports to identify trends and keep department leadership informed.
  • Maintain both electronic and physical files for incoming cohorts, tracking required documentation and following up as needed.
  • Assist with planning, coordinating, and executing department meetings and special events.
  • Take accurate meeting minutes and distribute them to appropriate stakeholders in a timely manner.
  • Coordinate scheduling and appointments for department leadership.
  • Participate in special projects and perform other related duties as assigned.

Qualifications:

  • High School Diploma or equivalent required.
  • Demonstrated excellence in customer service and interpersonal communication.
  • Strong computer skills, including proficiency in Microsoft Word and Excel.
  • Excellent written and verbal communication skills.
  • Working knowledge of standard office procedures, protocols, and equipment.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Detail-oriented with the ability to handle confidential information with discretion.
  • Ability to work independently while contributing effectively to a collaborative team environment.
  • Compensation: $21.00–$23.00 per hour. Compensation is based on education and experience.

Work Environment:

  • Standard office/classroom/lab or clinical setting.
  • Duties are typically performed while sitting at a desk or computer workstation.

Physical Demands:

  • Regularly sits for extended periods.
  • Physical ability to perform program- or department-related duties.
  • Proficient in using electronic keyboards and office equipment.
  • Effective verbal communication via phone and in person.
  • Ability to read fine print, operate computers, and understand voices clearly.
  • Able to lift, carry, and/or move objects weighing 10–25 pounds as needed.
