We are seeking a skilled Office Operations Manager to ensure smooth and efficient daily operations of our San Mateo, California office. The Office Operations Manager will coordinate administrative functions, support internal teams, foster a professional and welcoming environment, and maintain operational systems that enable our team to focus on strategic goals. This role is central to the firm’s productivity and operational health, supporting multiple departments and ensuring compliance with office policies and best practices.
Responsibilities
- Oversee and coordinate day-to-day office operations to support a high-performing venture capital environment
- Manage front desk activities including greeting visitors, answering phones, and handling general inquiries
- Maintain office supplies, equipment, and facilities, including coordination with vendors and service providers
- Organize internal events, meetings, and travel arrangements for staff and external partners
- Process and track office expenses, invoices, and purchase requests in partnership with finance and administrative teams
- Support onboarding and offboarding processes for employees and contractors
- Ensure office policies, safety procedures, and security protocols are followed consistently
- Serve as the primary point of contact for office maintenance and facilities issues
- Maintain accurate records of office assets, inventory, and operational documentation
Requirements
- Bachelor’s degree or equivalent experience in business administration, operations management, or related field
- Minimum of three years of experience in office or operations management, preferably within a professional services or financial environment
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Proficiency with standard office software including Microsoft Office or Google Workspace
- Ability to balance multiple tasks, prioritize effectively, and work independently
- Experience working with vendors and managing facilities or administrative services
- Professional demeanor with a strong focus on service and collaboration
- Familiarity with basic financial and expense systems is a plus
