Position Title: Children's Waivers Supervisor

Department: Child and Family Services

Reports to: Early Intervention Director

FLSA: Exempt

General Description:

The core responsibility of the Service Coordinator Supervisor (SCS) is to guide and direct a team of Service Coordinators.  The SCS provides direct supervision, training, mentoring, coaching, and onboarding supports for teams up to 15 staff.  The SCS provides a high degree of internal and external customer services, manages and mitigates internal and external conflict, develops change management strategies, maintains agility in all aspects of work, manages projects and completes metrics, and acts as a cultural marker for all Case Management staff.

Essential Duties/Responsibilities:

  1. Promotes excellent internal and external customer service with the intent of promoting TRE’s values through intentional communication strategies, daily.
  2. Maintains a strong understanding of the rules and regulations that direct Long Term Care (LTC) services to guide, advise, and train staff on regulatory compliance, daily.
  3. Reviews Service Coordinators’ service plans to ensure compliance with Rules, Regulations, policies, and procedures and that they are appropriately applied by the Service Coordinator, Weekly.
  4. Monitors Service Coordinator’s job duties as a quality control measure.  Communicates with Service Coordinators regarding the quality of their work in real time.  The SCS provides coaching and guidance when quality is below the accepted standard and develops and outlines additional training as needed when staff member’s quality is not to acceptable standards. SCS’s role is to help the staff member move past the issue(s), as needed.
  5. Develops and implements performance or improvement plans to support staff in developing better work standard.  The SCS provides staff member with appropriate training and guidance during the timeframe of the performance or improvement plan to encourage and support staff member in developing a higher standard of quality, as needed.
  6. Facilitates departmental meetings and trainings in person, by phone, and/or through the use of technology to ensure staff is up to date and prepared for changes in process or regulation, provide trainings, check-in with the team, promote employee engagement and a sense of unity within the team, and other updates, monthly.
  7. Trains and offers continued support to Service Coordinators to ensure they are grounded in, and understand the compliance requirements outlined by Rules, Regulations, policies, and procedures that dictate how Service Coordination is organized and implemented at TRE, monthly.
  8. Conducts one-on-one meetings with team members to provide staff with an opportunity to discuss quality of work, work and personal goals, career development, and anything else that may be important to the staff member and the supervisor at that time, monthly.
  9. Provides supports in the hiring process to help with interviewing, reviewing resumes, conducting phone screens, or whatever other tasks are needed in the hiring process in Case Management, monthly
  10. Mentors the Senior Service Coordinator to further develop their skills with training and guiding new hires while creating a standard for greater responsibility and autonomy, weekly.
  11. Provides all staff a standard of honest, ethical behavior to which they can aspire. Provide staff with a guide to TRE’s culture while embracing the cultural ideas that new staff add to TRE. Personally, practice and assist staff in understanding and embracing TRE’s mission, vision, and values. Provide enthusiasm and encouragement with the small daily wins that staff experience while supporting them in areas that they need help. Provides all aspects of TRE culture to promote an inclusive, healthy, and embracing work experience and environment for all staff, daily.
  12. Develops strong understanding of conflict resolution tactics to appropriately manage conflict as it arises, weekly.
  13. Cultivates a strong understanding of local and extended community resources, in addition to those provided by TRE to support the additional needs of the people we serve, weekly.
  14. Facilitates departmental/team meetings, trainings and support in person, by phone, and/or through the use of technology (i.e. Outlook, Office 365, ZOOM, etc.) as specified by the meeting or training coordinator to maintain and improve your performance, knowledge, skills, and abilities to best support the people served by TRE, weekly.
  15. Participates in the department analysis and planning process by identifying future needs, opportunities, and obstacles within the department and develops risk management responses that will proactively manage issues as they arise, monthly.
  16. Develops an area of expertise that will support TRE to better support the people we serve, monthly.
  17. Is present during typical work hours (or identifies coverage) to ensure staff have access to support as needed, daily.
  18. Meets with Managers and the Director of Case Management, monthly.
  19. Assist with outstanding accounts receivable needs, as requested.
  20. Assist with outstanding data needs, as requested.
  21. Communicate changes and updates to team, weekly.
  22. Performs driving responsibilities as required and maintain eligibility of all driving requirements. A working vehicle, valid CO driver’s license (unless active Military family), and minimum insurance levels of $100,000/$300,000/$100,000 liability coverage, weekly.

Other Duties/Responsibilities:

  1. Support other supervisors and team members through providing coverage of supervisory, training, service plan development tasks, or other case management needs to maintain quality of, and continuity of services for the people served by TRE, monthly.
  2. Participate in professional goal creation through the development and implementation of your career aspirations at TRE to further your performance, knowledge, understanding of the topics outlined in your career development plan, at least quarterly.
  3. Adapt to a changing work environment due to last minute changes in state and federal rules and regulations that effect TRE’s policies and procedures to best support the people served by TRE, annually or as needed.
  4. Assume other duties as assigned to promote the health and wellbeing of the people served by TRE and to promote the health and wellbeing of the organization, annually or as needed.

Job Qualifications:

Knowledge, Skills and Abilities:

TRE advocates for and promotes person-centered case management.  The Service Coordinator Supervisor must learn and adhere to current best practices in person-centered thinking.

  1. Completes tasks using computer-based technology.  It is a must that the Service Coordinator Supervisors possesses a strong understanding of how to quickly and accurately use and manipulate Apple iPhones, various lap tops, tablets, and stationary computers, Microsoft 365 (TEAMS, Word, Excel, PowerPoint, SharePoint, OneDrive, etc.), Outlook, SKYPE for Business, Adobe Acrobat, and can use or learn to use additional plugins for these products.  In addition to these technologies, Service Coordinator Supervisors are expected to learn several state and proprietary data bases to maintain accurate records.
  2. Maintains a solid understanding of case management best practices.
  3. Must be able to type accurately.
  4. Has an inclination for frequently identifying details while processing data.
  5. Must have a friendly disposition, positive attitude, and show an assuredness with each professional interaction.
  6. Possesses empathy for people with long-term care support needs.
  7. Uses problem solving and critical thinking skills.
  8. Possesses a strong aptitude for organization.
  9. Independently organizes multiple daily tasks and activities to ensure strict deadlines are met while prioritizing emergencies as they arise.
  10. Exhibits cultural awareness and understands the impact of biases in the workplace.

Education and Experience Requirements: 

Minimum: B.A. or B.S. degree in a human behavioral science field or related field of study. If an individual does not meet the educational requirement, considerations may be made if the individual has experience working with long-term services and supports (LTSS) population, in a private or public agency, or has a combination of LTSS experience and education, demonstrating a strong emphasis in a human behavioral science field.

Preferred: One (1) year experience working at TRE with a preference for work as a Service Coordinator or Senior Service Coordinator.  Two (2) years’ experience working in a case management setting.  Experience as a supervisor or manager where a primary responsibility was to direct, support, and train staff; manage conflict; report metrics; and oversee projects. A strong understanding of the Rules and Regulations that drive services along with TRE policies and procedures. Working knowledge of Medicaid Waiver programs and requirements; experience working with persons with disabilities. Knowledge of and experience working with community resources and resource development.

Material and Equipment Directly Used: Computers, Printers, Copy Machines, Surface Pro/tablets, Cell phones/telephone, Cloud based systems and software, etc.

Working Environment and Physical Activities: Office, community, private residences, commercial properties, and virtual environment settings.  Moderate physical activity required, such as walking, sitting, standing, and lifting up to 20 pounds (ADA accommodations at the request of the employee). A working vehicle, valid CO driver’s license (unless active Military family), and auto insurance coverage with bodily injury and property damage liability coverage ($100,000/$300,000/$100,000 coverage recommended) are required.
