The Program Coordinator manages the administrative and operational activities of both the Certified Recovery Specialist (CRS) Program within the Sheller Consult and Bridge Program and the Addiction Medicine Fellowship Program.

Job Description

This role is responsible for patient data tracking, program organization, credentialing support, data collection, and monthly reporting to funders. In addition, the Coordinator ensures the fellowship program runs smoothly and maintains full compliance with all accreditation standards. Serving as a key point of contact for fellows, faculty, and institutional departments, the Coordinator must be highly organized, detail-oriented, and proactive, with strong communication skills and the ability to manage multiple priorities in a fast-paced academic environment. Other duties may be assigned at the discretion of the Program Manager.

Essential Functions:

  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Serve as the primary administrative contact for the CRS and Fellowship programs, assisting with onboarding, scheduling, rotations, and time-off requests.
  • Coordinate the development, implementation, and tracking of program initiatives to ensure timely completion.
  • Manage patient, fellow, and program data systems; compile and analyze data for internal use and external reporting.
  • Prepare and submit accurate reports to funders, stakeholders, and accrediting bodies.
  • Support credentialing and compliance requirements for CRS staff; maintain certification, licensure, and training records.
  • Ensure continuous compliance with ACGME standards, including preparation for site visits and maintaining records in ADS.
  • Manage fellowship recruitment, including ERAS applications, interview scheduling, applicant communication, and NRMP coordination.
  • Coordinate faculty lectures, meetings, evaluations, and educational activities.
  • Organize and attend CCC and PEC meetings, preparing agendas, minutes, and follow-up documentation.
  • Safeguard confidential data and ensure proper protections against unauthorized use or disclosure.
  • Plan and execute program events such as orientation, graduation, and didactic sessions.
  • Support audits, quality improvement initiatives, and special projects or other tasks as assigned by the Program Manager.         

Education & Experience Requirements:

  • Bachelor’s degree required, Master’s degree preferred.
  • Previous experience in project coordination and data management required. 
  • Previous experience in the opioid/overdose crisis preferred. 
  • Previous experience as a coordinator for an ACGME-accredited residency or fellowship program preferred.
