Maintenance Planner/Command Center Coordinator Basic Function – Join our dynamic Facilities Operations team in a critical role that ensures the reliability, safety, and regulatory compliance of building systems in a large, public commercial environment. As a proactive and highly organized Maintenance Planner / Command Center Coordinator, you will be part of our 24/7 operations team, combining preventive maintenance planning with real-time emergency coordination from the Command Center.
In this pivotal position, you will manage the full lifecycle of maintenance work—from preventive maintenance (PM) scheduling to corrective and emergency response planning—while ensuring adherence to FDNY fire safety regulations and NYC Fire Code. You will operate out of the Command Center, serving as the central hub for maintenance and emergency operations, utilizing Maximo CMMS and ATLAS mobile platform to ensure all work is planned, scheduled, documented, and completed efficiently, safely, and in compliance with regulatory standards.
Major Duties and Responsibilities: - Maintenance Planning & Scheduling
- Plan and schedule all preventive maintenance (PM) and reactive work orders using the Maximo CMMS system.
- Develop preventive maintenance (PM) forecast schedules to coordinate planned activities with operations and maintenance teams.
- Create detailed job plans describing maintenance requirements for all facility assets.
- Prioritize work backlog based on asset criticality, business impact, and operational needs.
- Plan and schedule all preventive maintenance (PM) and reactive work orders using the Maximo CMMS system.
- Develop preventive maintenance (PM) forecast schedules to coordinate planned activities with operations and maintenance teams.

- Command Center Operations
- Provide real-time monitoring and coordination of maintenance activities 24/7.
- Serve as the first point of contact for emergency maintenance requests.
- Track and report on work order status, technician dispatch, and escalation communications.
- Maintain detailed logs of all incoming calls, work orders, emergency events, and technician activities.
- Communication & Coordination
- Act as a liaison between client, technicians, supervisors, and operations teams during all shifts.
- Issue clear and timely communications for planned shutdowns, emergency repairs, and critical system interventions.
- Support after-hours notifications to management in the event of major system impacts or emergencies.
- System and Data Management
- Generate reports to support KPI (key performance indicators) tracking, backlog management, and compliance audits.

- Monitor staff availability and inventory levels to ensure required parts and resources are available for planned work.
- Regulatory Compliance
- This role requires compliance with FDNY Certificate of Fitness (COF).
- The F-53 COF is the Emergency One-Way Voice Announcement required for personnel supervising fire alarm systems with one-way emergency voice communication. https://www.nyc.gov/site/fdny/business/all-certifications/cof-f53.page
- The S-95 COF is the Supervision of Fire Alarm systems required for buildings with FDNY approved fire alarm systems without voice communication. https://www.nyc.gov/site/fdny/business/all-certifications/cof-s95.page
- This role requires compliance with FDNY Certificate of Fitness (COF).
Secondary Functions:
- Run operation reports and provide recommendations to improve efficiency/productivity
- Report any issues found that could potentially lead to additional system failures.
- Assist with operational issues during outages or failures.
- Comply with company safety program and trainings.
- Perform other related duties as assigned or needed.
Qualifications
Needed Skills:
- Technical understanding of HVAC, electrical, plumbing, and building automation systems (a plus).
- Proficient with Microsoft Office Suite (Excel, Outlook, Word) and mobile CMMS applications.
- Ability to work independently and make decisions in a 24/7 environment with minimal supervision.
- Coverage required for all shifts (day, evening, overnight), including weekends and holidays.
- Ability to read and comprehend complicated materials and instructions (English) and be able to communicate both verbally and in writing (English).
- Ability to create and maintain productive relationships with employees, clients, and vendors.
- In possession of appropriate paperwork to gain and maintain employment in the US.
- Ability to meet worksite security and safety requirements.
Education/Experience Minimum:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- 3+ years of maintenance planning, facilities operations, or dispatch experience preferred.
- Experience and proficiency with Computerized Maintenance Management Systems (CMMS) required: familiarity with Maximo and/or ATLAS mobile platform preferred.
- Experience working in a high-volume, fast-paced large commercial maintenance or facilities environment.
- Ability and willingness to work rotating shifts, including nights, weekends, and holidays.
- Excellent communication, multitasking, and organizational skills.
- Strong problem-solving skills, especially under time-sensitive conditions.
- Ability to interpret maintenance schedules, work plans, SOPs, and technical documentation.
- Possess and maintain the FDNY Certificates of Fitness (F-53 AND S-95) or ability to obtain within 90 days of employment. The company will cover all associated costs for training, testing, and certification.
- Ability to write effectively in the preparation of reports and forms (Email)
- Knowledge of Airport equipment is a plus.
