The Operations Support Specialist is a critical member of the Operations Team, providing comprehensive administrative, financial, and operational support to Regional Managers and/or Vice Presidents overseeing a portfolio of multifamily properties. This role ensures alignment across on-site teams and corporate leadership through effective communication, process coordination, and operational oversight. The Operations Support Specialist plays a key part in maintaining property performance, supporting compliance, and driving organizational initiatives across assigned communities.
Operational Support & Oversight
- Assist with preparation, review, and analysis of monthly financials and budget performance.
- Coordinate and track key operational metrics including occupancy, leasing trends, and expenses.
- Support capital improvement projects by monitoring timelines, vendor performance, and payment processing.
- Conduct or assist with property inspections, ensuring readiness and compliance with standards.
- Maintain regional databases and systems for project tracking, compliance, and reporting.
- Ensure competitive market analysis reports are completed timely and accurately by on-site teams.
Compliance & Risk Management
- Support the completion and tracking of compliance documents and risk management reports.
- Ensure timely submission of inspections, safety meetings, and night lighting audits by site teams.
- Collaborate with teams on due diligence processes for acquisitions and transitions as needed.
Team and Property Support
- Provide interim operational or managerial support at properties during transitions or staffing gaps.
- Review and recommend improvements for standard operating procedures and resource usage.
- Support regional meetings, training sessions, and team events.
Communication & Reporting
- Serve as a communication bridge between corporate and on-site teams to align on initiatives, updates, and performance goals.
Vendor and Procurement Support
- Research, evaluate, and coordinate vendor contracts, service agreements, and procurement activities.
- Ensure cost efficiency and timely execution of purchasing and maintenance needs for the portfolio.
All other tasks assigned by the direct supervisor.
Qualifications:Education and Experience
- High school diploma or GED required; some college preferred.
- 3+ years of experience in multifamily property management at a Community Manager level. -Required
- Prior experience supporting multiple properties or a regional team is highly preferred.
- Experience in affordable (LIHTC, Tax Credit) and market rate housing preferred.
Technical Skills
- Proficient in Microsoft Office Suite (Word, Outlook, PowerPoint).
- Must have a high level of Excel proficiency, with demonstrated ability to build and interpret advanced spreadsheets for financial analysis and operational reporting.
- Working knowledge of property management software (Yardi preferred; RealPage a plus)
- Strong reporting, data analysis, and document management skills.
Soft Skills
- Excellent communication (verbal and written), organizational, and problem-solving abilities.
- Strong attention to detail and ability to manage competing priorities.
- Ability to work independently, exercise sound judgment, and maintain confidentiality.
- Comfortable interacting with clients, vendors, and all levels of staff.
Other Requirements
- Access to reliable transportation.
- Willingness to travel as needed, including possible overnight travel
- ARM/CAM certification or real estate license is a plus.
Salary: $90,000-95,000
Reports to: Sr. Regional Manager
Monday- Friday 9am-6pm (May vary at times due to property needs)
Travel to properties within assigned portfolio will be determined by the Sr. Regional and will be based on the property needs.
