110Job Description
The Trauma Center Office Coordinator provides secretarial and administrative support to the Trauma Medical Director, Trauma Program Manager and additional members of the trauma team.
Responsibilities and Duties
Updates schedules/calendars, and reviews and responds to meeting requests.
Communicates schedules and updates to the Trama Medical Director and the Trauma Program Manager.
Prepares, edits, proofreads, designs, and formats documents.
Manages and organizes communications and ensures hard copy and/or computer files are maintained as appropriate.
Maintains spreadsheets and creates reports for items such as education, competency and other confidential departmental items.
Creates documents and assists in the tracking and monitoring of departmental budget.
Supports the Trauma Registry by updating discharge dates daily, front loading demographics, and assists with reporting and formatting.
Supports Trauma Center documents including continuous monitoring of guidelines and policies, trauma handbook, and TACS organizational chart and signage.
Updates documents and formatting along with the on-call schedule for all required specialty services and orthopedic call coverage signage.
Assists with Ophthalmology record keeping, including schedules and request for check monthly.
Attends and supports all Trauma meetings including timely meeting requests, e-mail correspondence, meeting minutes, attendance and PowerPoints.
Serves as liaison with other departments such as facilities, human resources, safety and security, and IS/IT as needed to facilitate services required for the Trauma Center.
Education
High School Diploma or equivalent is required.
Experience
Previous office experience is required.
Minimum two (2) years secretarial experience is preferred.
Qualifications
Minimum of 50 wpm keyboarding rate preferred.
Knowledge of medical terminology preferred.
Must possess good public relations, interpersonal and organizational skills and be continuously attentive to details.
Must be able to handle confidential and other sensitive information appropriately.
Ability to compose or prepare finished documents from outlines or brief instructions highly desirable.
Computer knowledge and experience including "Windows" and word processing required, "MS Word" and "Excel" strongly preferred. Knowledge of AS400 functions preferred.
Strong written and verbal communication skills required.
Ability to establish and maintain effective relationship with staff, clients and others required.
