Description
At Nevada Heart and Vascular Center (NHVC) the Medical Records Specialist, under the direction of the Medical Records Manager, will file and retrieve patients' medical records, ensuring that information is accurate and complete. You will also respond to release of information (ROI) requests, logging all authorizations and releases. Other tasks include preparing charts for upcoming appointments or off-site storage, as well as scanning documents to update electronic health and medical records. All Medical Records specialists should be familiar with HIPAA compliance requirements.

MINIMUM QUALIFICATIONS:
Education and Experience:
• High school diploma or GED completion is required
• Certification from an accredited medical assisting program required
• Experience with AthenaOne preferred or an alternate EMR system experience is required
• Microsoft 365 experience required: must be able to use excel, word, and teams
• 1 or more years experience in a medical office is preferred but not required
• Medical Records related experience required
• Detail-oriented with good analytical and organizational skills
• Good interpersonal skills with the ability to work cohesively within a team environment
• Excellent oral and written communication skills to effectively communicate with customers and all levels of management

ESSENTIAL DUTIES:
• File documents in patient charts
• Check charts for accuracy and completeness
• File or retrieve information from multiple hospital and laboratory systems, then update medical records in EMR system
• Prepare charts and mitigate issues with chart prep for patient appointments
• Prepare charts for off-site storage
• Respond to ROI (release of information) requests
• Follow all HIPAA regulations
• Process testing done in clinics and send out certain tests to transcriptions team
• Verify that testing documentation accuracy before scanning it into patient chart
• Assist with various projects as assigned by the direct supervisor
• Escalate identified risks and problems to department manager
• Meets and exceeds short and long term goals and KPIs as established for the department
• Performs job functions and duties according to department’s policies and procedures
• Reports to work, meetings and professional obligations on time
• Participates in administrative staff meetings and attends other meetings and seminars
• Assists in evaluation of reports, decisions, and results to meet department goals
• Recommends new ideas, policies, and procedures to promote team improvement
• Takes ownership of projects, researches data and follows up with detailed action plans
• Actively participates in problem solving to create needed resolutions
• Performs other related duties as required and assigned
• Adheres to Corporate, Department and HR policies and procedures
PHYSICAL REQUIREMENTS:
• Employee is required to have visual and auditory acuity necessary for communications with other employees and/or customers to meet business needs of NHVC.
• Employee must be able to see written documentation and be able to speak and hear for communication with employees/customers.
• Ability to use a wide array of office equipment including, but not limited to a PC, copier, fax, multi-line telephone, etc.
• Employee is exposed to general indoor working conditions and may on occasion require light lifting or no greater than 20 pounds and some offsite travel.
